Proton was founded in 2014 by scientists from CERN on a simple truth: privacy is a fundamental human right. In some situations, Proton has literally helped save lives!
We are profitable, independent (no VC control), and selectively hire from the top ~1% of applicants. About the Role
We are looking for an Accounts Receivable Associate to run our end-to-end invoicing process for our B2B business. This role is suited for someone who is highly organized and enjoys bringing consistency and structure to how they operate. This is a hands-on role with room to shape how billing operates as the business scales.
What you will do:
- Prepare, review, and issue customer invoices for SaaS subscriptions, renewals, one-time fees, service charges, and MSP-related billing items.
- Create invoices using contracts, order forms, pricing agreements, sales notes, usage records, and internal billing instructions.
- Check customer billing details, including invoice addresses, VAT/tax information, payment terms, purchase order requirements, pricing, billing cycles, and discounts.
- Track invoices from request through creation, approval, dispatch, correction, and follow-up.
- Coordinate with Sales, Finance, Customer Success, and Operations to confirm billing details and resolve missing or unclear information.
- Respond to customer billing questions and investigate invoice discrepancies, missing purchase orders, disputed charges, or incorrect billing details.
- Maintain billing trackers and reports showing invoice status, pending actions, billing exceptions, and overdue items.
- Follow up on outstanding invoices via email and phone, and escalate overdue accounts to Finance or leadership in line with collections policy.
- Process and record incoming payments and reconcile against open invoices.
- Support month-end billing checks and reconciliation between sales records, platform usage, invoices issued, and finance records.
- Identify billing gaps, duplicate billing risks, incorrect charges, or missed revenue opportunities.
What we are looking for:
- 2-5 years of experience in billing, invoicing, accounts receivable, finance operations, revenue operations, or administrative finance support.
- Strong with numbers and comfortable working across high volumes of data accurately.
- Able to read and work from contracts, order forms, pricing tables, and billing instructions.
- Comfortable following up persistently but professionally on outstanding invoices and overdue accounts.
- Strong written and verbal communication skills; English fluency is a must.
