Admin Assistant
Job Summary:
Detail-oriented project coordinator to support construction teams with documentation, coordination, and workflow tracking to ensure smooth project delivery.
Responsibilities
- Provide administrative support to project teams across documentation, coordination, and reporting
- Prepare, transcribe, and distribute project documents including subcontracts, purchase orders, and correspondence
- Maintain and organize physical and electronic project files in line with company guidelines
- Track and update project information and records as directed by the project team
- Follow up with subcontractors on documentation such as claims, certificates, and delivery orders
- Support project closeout activities, including preparation of O&M manuals
- Assist in preparing project documentation such as cashflow reports, progress claims, insurance, and schedules
- Coordinate office and project site supplies procurement
- Organize and maintain filing systems, project binders, and drawings from printing vendors
- Support preparation and distribution of project punch lists to vendors and subcontractors
- Archive project documentation according to company and client requirements
- Assist with scheduling meetings, interviews, and travel arrangements when assigned
- Participate in project meetings and support implementation of new procedures as required
Requirements
- N/O/A Levels or higher qualification
- Minimum 1 year of relevant experience in a contractor or construction environment
- Proficient in Microsoft Office applications
- Strong attention to detail with experience in document control and file management systems
