Admin Executive (Community Mental Health Department)

Job Responsibilities:

  • Ensure efficient and smooth day-to-day administrative and operational functions of the COMIT service.
  • Manage referrals, enquiries, and service coordination through phone calls, emails, and internal communication platforms.
  • Support the coordination of client-related administrative processes, including appointment scheduling, case assignment support, and maintenance of service records.
  • Maintain accurate data entry, reporting templates, and administrative records in compliance with organisational and regulatory requirements.
  • Prepare and consolidate statistics, reports, meeting minutes, and documentation for internal and external stakeholders.
  • Coordinate onboarding and administrative support for staff, interns, and trainees.
  • Liaise with community partners, vendors, and stakeholders to support service operations and programme activities.
  • Support audits, workplace safety processes, emergency preparedness exercises, and compliance-related administrative requirements.
  • Assist in procurement, finance-related administrative processes, and inventory management.
  • Contribute to process improvements and ensure effective coordination across the team.

Requirements:

  • Diploma holder with at least 3 years of relevant administrative or operations experience.
  • Prior experience in healthcare, social service, community care, or mental health settings will be an advantage.
  • Strong organisational, coordination, and multitasking abilities.
  • Good communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
  • Proficient in Microsoft Office applications (especially Excel, Word, Outlook, and Teams) and administrative IT systems.
  • Comfortable handling data, reports, and detailed administrative processes with accuracy.
  • Able to work independently, manage competing priorities, and exercise initiative in problem-solving.
  • Meticulous, resourceful, and service-oriented with a positive professional attitude.
  • Able to handle sensitive and confidential information appropriately.
