Administrative and Project Coordinator
What You Can Expect:
- Oversee and monitor project status in Jira for all IT project within Global IT
- Coordinate and provide advice to project related topics.
- Organize JIRA, training/workshops including creating WI for project teams.
- Report project status and/or issues to IT management team.
- Organize and maintain files and records, both in physical and digital formats.
- Coordinate travel arrangements and accommodations for staff, executives, or clients.
- Assist in budget tracking, expense reports, and financial documentation.
- Support event planning and coordination, including meetings, conferences, and workshops.
- Act as a primary liaison with NEOZO consultants to streamline and expedite the approval of all Cloud Support and AWS Invoices.
- Responsible for consolidating invoices, cross-checking cost consistency, and pre-approval
- Serve as the central point of resolutions for all global finance controller escalations and overdue notices, ensuring timely payment and account stability.
- Collaborate with other administrative staff to ensure smooth workflow and effective communication.
What You Bring:
- Bachelor’s degree in any equivalent, additional qualifications are a plus.
- Proven experience as an Administrative Assistant or a similar administrative role (fresh grad also welcome).
- Proficiency in using office software and tools (e.g., Microsoft Office, Google Workspace).
- Strong attention to detail and organizational skills.
- Ability to prioritize tasks and manage time efficiently.
- Discretion and the ability to handle sensitive information with confidentiality.
- A proactive approach to problem-solving and team collaboration.
- Adaptability and flexibility in a dynamic work environment.
- Excellent written and verbal communication abilities.
- Fluency in English communication.
