About the Role

The Distribution Administrative Assistant provides critical administrative and operational support to the Last Mile Operations team. This role serves as a key point of contact for drivers, customers, and internal departments while helping ensure efficient distribution operations, accurate reporting, effective communication, and timely completion of daily administrative processes.


What You’ll Do

  • Support daily distribution and transportation operations through administrative coordination and reporting.
  • Prepare, maintain, and distribute operational, staffing, training, and performance reports using tools such as Smartsheet.
  • Coordinate driver and support staff onboarding processes, ensuring timely completion of documentation and onboarding milestones.
  • Serve as a point of contact for drivers and customers by answering questions, providing operational support, and resolving issues.
  • Assist with invoice research, billing inquiries, shipment tracking, and delivery status updates.
  • Maintain accurate payroll and timekeeping records and support compliance with payroll deadlines.
  • Manage fleet and operational supply inventories, including driver equipment, fuel cards, office supplies, and safety materials.
  • Partner with Operations, Customer Service, Accounting, Transportation, and other departments to improve communication, resolve issues, and support business objectives.

Work Environment & Physical Requirements

This role is performed in a fast-paced distribution environment and requires the ability to sit, stand, walk, and use standard office equipment throughout the workday. The position may require occasional lifting of office or operational supplies with or without reasonable accommodation.

The expected hourly range for this position is listed above. Actual compensation will depend on skills, experience, qualifications, and geographic location.

  • Schedule: Monday–Friday, 6:00 AM until completion of daily responsibilities
  • Additional days, hours, or schedule adjustments may be required based on holidays, business needs, or increased workload
