Administrative Assistant
Job Description
We are looking for an outstanding Administrative Assistant to work in our Walnut Creek office and support daily operations. The ideal candidate is a strong communicator and multitasker who can manage front-desk responsibilities, handle incoming calls, take on general administrative duties, and provide executive assistant support to leadership. Success in this role requires discretion, attention to detail, and the ability to juggle competing priorities in a professional setting.
This is a full-time position with on-site work required Monday-Friday 8:30AM-5:30PM.
Daily Duties
- Serve as the first point of contact for visitors, greeting guests and ensuring they are directed to the appropriate person or meeting space.
- Maintain a tidy, professional, and welcoming reception and common areas.
- Receive, sort, and distribute incoming mail and packages, and coordinate outgoing shipments.
- Answer, screen, and route incoming phone calls promptly and courteously.
- Take accurate messages and follow up to ensure timely responses.
- Respond to general inquiries via phone and email, escalating as needed.
- Maintain office supplies inventory and place orders to keep the office well stocked.
- Schedule and coordinate meetings, including booking conference rooms and arranging refreshments or catering when needed.
- Prepare, format, and proofread documents, correspondence, spreadsheets, and presentations.
- Maintain organized digital and physical filing systems and records.
- Assist with data entry tasks.
- Support office events, onboarding logistics, and other operational tasks as assigned.
- Manage and maintain executive calendars, scheduling appointments and resolving conflicts.
- Coordinate travel arrangements, including flights, lodging, ground transportation, and detailed itineraries.
- Prepare and submit expense reports on behalf of executives.
- Draft and edit communications, agendas, and meeting materials.
- Additional similar duties as necessary.
Minimum Qualifications
- 1–3 years of experience in an administrative, receptionist, or executive support role.
- High school diploma or equivalent required; associate or bachelor's degree a plus.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail, with the ability to manage multiple priorities.
- Professional, friendly demeanor and strong customer-service orientation.
- Ability to handle sensitive and confidential information with discretion.
- Reliable, punctual, and comfortable working on-site in the Walnut Creek office.
