Administrative Assistant
Job Summary
We are looking for a proactive and well-organized administrative assistant to support senior management. In this role, you will help ensure an efficient organization and a well‑planned business agenda. You will work closely with senior leaders and provide day‑to‑day administrative, organizational, and coordination support, including confidential tasks. Create an optimized organization and business agenda including all related activities.
This is a permanent position that will be located on-site in Budaors, Hungary.
What you will do
- Managing the Factory Director’s administrative tasks.
- Cooperating with Factory Leadership team and World Class Manufacturing (WCM) Office in communication related matters
- Factory event calendar management. Planning and organizing events like Annual Christmas party, Health & Sport Day, Workshops etc.
- Planning, organizing, coordinating, and supporting execution of factory related events including but not limited to Factory day, Customer visits, Management meetings, organizational meetings, and similar activities
- Lead the arrangement of common events between TPP & TPH e.g
- Performing internal communication support to the Factory management team
- Up-date distribution lists, prepare communication matrix (who can communicate to whom)
- Prepare & continuously improve internal communication strategy
- ORBIS local site up-date
- Prepare and send out factory communications (TPP employee), including new- comer communications
- Newsletter preparation
- Digital signage management
- Factory base presentation update
- Arrange staff photography occasionally
- Nexon – time data alignment with Payroll Administrator for FLT members
- New-comer support including security training
- Cooperation with CBRE soft FM (up-load canteen menu, bus schedule)
- Cost Centre management in SAP for Factory Mmgt & Administration.
- Leading/Participating in the WCM Office Pillar
We believe you have
- Bachelor’s degree or diploma in Administration or equivalent.
- Minimum 05 years of experience in administrative, assistant role or site management roles.
- Excellent communication skills.
- Fluent in English both written and verbally.
- Highly structured, ensuring accuracy on a detailed level.
- Ability to work independently but you’re also a team player and enjoy co-operating with others to solve work tasks in the most efficient way.
- You have one to two years of experience from other or preferably similar administrative work.
- Good skills in Microsoft Office (Outlook, Word, Excel, PowerPoint) and SAP
- The ability to manage multiple tasks at the same time and set priorities.
- Ability to work proacttively on-site.
