Position Summary

The Administrative Supervisor provides operational and administrative support across multiple food service locations or a designated region. This position is responsible for coordinating payroll, onboarding, compliance, reporting, invoicing, purchasing, scheduling support, and general office administration while serving as a key liaison between operations, Human Resources, Finance, and clients. The Administrative Supervisor helps ensure consistent administrative processes, regulatory compliance, and exceptional internal customer service to support successful food service operations.

Essential Duties and Responsibilities

Administrative Operations

  • Manage daily administrative functions supporting one or more food service locations.
  • Maintain accurate employee, operational, and client records.
  • Prepare reports, presentations, correspondence, and operational documentation.
  • Coordinate meetings, travel arrangements, and calendars as needed.
  • Maintain organized electronic and physical filing systems.

Payroll & Human Resources Support

  • Review employee time records for accuracy prior to payroll submission.
  • Assist managers with payroll corrections and employee record maintenance.
  • Coordinate new hire onboarding and ensure completion of employment documentation.
  • Monitor compliance with required certifications, food safety training, and required licenses.
  • Support employee communications regarding benefits, policies, and company procedures.
  • Assist with recruiting coordination, interview scheduling, and onboarding logistics.

Financial Administration

  • Process invoices, purchase orders, and vendor documentation.
  • Monitor budget tracking and assist with expense reporting.
  • Reconcile purchasing records and support month-end administrative processes.
  • Maintain inventory of office supplies and administrative resources.

Operational Support

  • Assist operations leadership with labor reporting and administrative analytics.
  • Coordinate uniform orders, equipment requests, and office supply purchasing.
  • Support implementation of company initiatives, new account openings, and operational transitions.
  • Prepare operational reports for internal leadership and client meetings.

Compliance

  • Ensure compliance with company policies and procedures.
  • Maintain confidentiality of employee, financial, and business information.
  • Assist with audits, document requests, and regulatory compliance initiatives.
  • Support food safety documentation and operational recordkeeping as required.

Customer Service

  • Serve as a primary administrative resource for managers, employees, vendors, and clients.
  • Respond professionally and promptly to inquiries.
  • Foster positive working relationships across departments.
