Location: Irford House, Seacroft Crescent, Leeds, LS14 6PA
Please note that this is a multi-site role. Whilst your main base will be Irford House, you will be required to work across all Forward Leeds sites as required to meet service needs.
Working Hours: 37 hours per week, Monday-Friday
Contract Type: Fixed Term - 6 Months
Salary: £25,877.80 - £28,454 per annum

About the role:
Forward Leeds is looking for an organised, professional and customer-focused Administrator/Receptionist to join our busy team.
This is an exciting opportunity to play a key role in supporting the day-to-day running of the service, providing a welcoming and efficient reception function while delivering high-quality administrative support to colleagues, service users, visitors, partners and external stakeholders.
As the first point of contact for the service, you will help create a positive experience for everyone accessing Forward Leeds, ensuring enquiries are managed professionally and efficiently while supporting the wider team to deliver high-quality services across Leeds.
This role is based at Irford House but will provide administrative and reception support across all Forward Leeds locations as required.
Key Accountabilities:
Act as the first point of contact for employees, visitors, partners, service users and external stakeholders, ensuring all enquiries are appropriately supported, signposted and responded to.
Provide a welcoming, professional and confidential reception service, delivering excellent customer care at all times.
Manage enquiries received via telephone, email and in person, escalating issues where appropriate.
Maintain the reception and hub environment, ensuring visitors and service users receive a positive experience.
Manage post, deliveries, visitor sign-in processes, access arrangements and meeting room preparation.
Maintain accurate records and update electronic systems in line with organisational procedures.
Support referral, booking and appointment processes across the service.
Manage shared email inboxes and undertake a range of administrative and organisational tasks.
Provide administrative support to operational teams across Forward Leeds.
Organise meetings, distribute agendas, gather information and take minutes where required.
Liaise effectively with partner agencies and stakeholders to support service delivery.
Assist with data collection, reporting requirements and quality assurance activities.
Maintain office supplies and support the efficient day-to-day running of service locations.
Support service improvement by identifying issues, suggesting solutions and contributing to operational projects and objectives.
Undertake training, supervision and continuous professional development activities as required.
Work in accordance with all relevant legislation, policies, procedures and organisational values.
About You
Qualifications
NVQ Level 3 in Business Administration (or equivalent) or demonstrable relevant experience.
Skills and Experience:
Experience in an administrative, reception or customer service role.
Excellent interpersonal, organisational and communication skills.
Ability to communicate effectively with a wide range of people both verbally and in writing.
Proficient in Microsoft Office applications, including Outlook, Word and Teams.
Ability to maintain accurate records and manage administrative systems.
Experience handling confidential and sensitive information with discretion.
Ability to prioritise workload and work effectively within a busy environment.
Experience within a healthcare, social care, education or customer-facing environment would be advantageous.
A proactive, flexible and professional approach to work.
Ability to work both independently and as part of a team.
