Administrator (West)

Job Summary

You will provide administrative and operational support to ensure smooth site and office operations, including document management, procurement using ERP, report preparation, and general office upkeep.

Responsibilities

  • Provide administrative support and maintain accurate documentation to support site operations
  • Organize and update filing systems and databases to ensure easy retrieval of information
  • Perform data entry and basic office administration tasks to maintain daily office functions
  • Support the operations team by managing overtime claims, leave applications, and invoice processing
  • Raise purchase requisitions and purchase orders using the ERP system to facilitate procurement
  • Assist in generating reports and preparing monthly meeting documentation to support decision-making
  • Source and receive general office stationery and materials to maintain office supplies
  • Maintain proper records of document correspondence and ensure document upkeep and filing accuracy
  • Oversee office maintenance to ensure a clean and functional work environment
  • Manage multiple tasks effectively to support smooth daily team operations
  • Perform other ad-hoc duties as assigned to support team needs

Required competencies and certifications

  • Minimum GCE “N” / “O” Level / Nitec / Higher Nitec in Business Administration, Accounting, Hospitality, Communications, Engineering, or related fields
  • At least 5 years of relevant administrative experience in Singapore
  • Proficient in Microsoft Office applications to prepare documents and reports
  • Strong communication skills, both written and verbal, to facilitate clear information exchange
  • Ability to multitask and prioritize work to meet operational deadlines
  • Responsible, meticulous, and proactive in identifying and addressing administrative needs
