ADMINSTRATIVE ASSISTANT

Job Responsibilities

  • Assist the project team in applying and processing all required authority passes, permits, and site access documentation.
  • Coordinate with relevant authorities, clients, and internal teams to ensure timely submission and approval of applications.
  • Maintain proper records of all pass applications, approvals, renewals, and related documentation.
  • Track expiry dates of passes and ensure timely renewal to avoid disruption to site operations.
  • Support administrative work for project teams, including filing, data entry, and document preparation.
  • Liaise with site personnel to gather required information and supporting documents for submissions.
  • Ensure all documentation is accurate, complete, and compliant with project and regulatory requirements.
  • Handle general office administrative duties as assigned by the project or management team.
  • Provide ad-hoc support to the project team as and when required.

Job Requirements

  • Minimum Nitec / Higher Nitec / Diploma in Business Administration or related field.
  • LOCATION: Changi in Q3
  • Prior experience in construction or project administrative support will be an advantage.
  • Familiarity with authority pass applications or construction site documentation is preferred.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational skills with attention to detail and accuracy.
  • Able to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Good communication and coordination skills to work with internal teams and external parties.
  • Responsible, proactive, and willing to take on ad-hoc duties when required.
