The incumbent's work impacts the administrative aspect of patient care, including: access, specialized scheduling/coordinating appointments using advanced clinic access principles, collecting and updating demographic and insurance information, patient processing, and customer service. The AMSA is responsible for functions such as serving as an in initial point of contact for the units, clinics, patient, to include, but not limited to, scheduling patient appointments, tracking, reviewing, and responding to electronic orders, consults, and other elements in the electronic medical record and medical systems. The AMSA position requires a practical knowledge of computerized data entry, information processing systems and software related to patient care, the healthcare systems organization and services, basic rules and regulations governing visitors and patient treatment, knowledge of standard procedures, utilizing medical records, and medical terminology. The incumbent plays an integral role in identifying and developing ways to resolve problems with the administrative and clinical staff on access, customer service, patient flow, revenue, and data validation issues. Major duties include (but not limited to): Provide specialized and expert administrative patient care while working collaboratively in an interdisciplinary coordinated care delivery model. Administrative judgment and the flexible use of a wide range of clinical flow processes. Recommends changes to existing clinic procedures based on current administrative guidelines. Expertise in utilizing numerous advanced patient systems in support of multiple clinics. Develop and maintain effective communication with the patient, interdisciplinary coordinated care delivery model teams, VA medical centers, and other agencies. Schedule, cancel, and reschedule patient appointments and/or consults. Monitor appointment requests from multiple electronic sources. Participate in team huddles and team meetings. Adjust the flow and sequencing of the work to meet team and patient needs. Identify incomplete encounters and communicates findings to providers. Submit appropriate information into the electronic record. Monitor pre-appointment information and/or requirements to ensure readiness for patient visit/procedure. Manage patient systems to verify and validate accuracy and resolve issues. Extract pertinent information from patient records and processes providers plan for diagnosis and treatment. Retrieve patient information form the electronic medical record, as requested by the clinician. Coordinate administrative services for Veterans, family members, caregivers, and general public, administrative and clinical staff. Generate patient reports for validation. Receive/screens phone calls in a courteous and timely manner, determines the nature of requests, and provides the information desired using privacy rules and established clinic processes. Generates letters and pre-procedure instructions to patients. Other duties as assigned ensure efficient daily operations. Work Schedule: Compressed Tour, 80 hours per pay period with 1 consistent day off every 2 weeks. Duty hours will be discussed during the interview process. Pay: Competitive salary and regular salary increases When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade). Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience.
