Agency Operations and Technology Coordinator

This Coordinator operates at the intersection of the Agency Operations and Technology and Innovation departments, providing critical support to the teams defining, implementing, and optimizing the processes and tools that enable GPJ to be the world's leading experiential agency.

The Agency Operations & Technology Coordinator will be a key contributor in the ongoing effort to champion the GPJWay Process and support strategic modernization initiatives, including the deployment of our latest AI tools and the rollout and sustained success of the new OneGPJ Global Portal.

Key Responsibilities

The Coordinator will support key projects and initiatives across the Technology and Innovation and Agency Operations departments, with a focus on:

AI & Automation Initiative Leadership Support

  • Full Initiative Lifecycle Support: Actively support the team across the lifecycle of Automation and AI initiatives by helping to:
    • Gather business requirements from end-users to ensure technical solutions meet agency needs.
    • Project manage pilots by setting timelines, coordinating cross-functional teams, and reporting back on progress and outcomes
    • Conduct user acceptance testing (UAT) and quality assurance for new automated workflows and AI tools.
    • Develop and distribute internal communications regarding training, tool updates, best practices, and availability..
    • Develop, deliver, and/or facilitate training sessions on new automation and AI tools, as well as Google Gemini and Slack efficiency features.
    • Measure success by collecting and analyzing usage data, feedback, and key performance indicators (KPIs) related to efficiency gains.
  • Tech and Innovation Ambassador Program: Ensure the program's success by coordinating Ambassador communication, tracking program commitments, and confirming cross-practice training on GPJ Automation and AI tools.

OneGPJ Global Portal

  • Global Portal Maintenance: Support the ongoing maintenance of the new OneGPJ Global Portal, acting as a liaison for content contributors and users in the US.
  • Content Management: Assist with the organization, tagging, and uploading of critical process documentation and assets to ensure the Global Portal is a single source of truth for the agency.
  • Slack & Global Portal Alignment: Ensure alignment and connection with Slack channel canvas’ and announcements with the Global Portal.

Process Excellence & Documentation

  • GPJWay Standardization: Assist in documenting and refining operational and technical processes and workflows for consistency and clarity, with a specific focus on what should be included on the Global Portal.
  • Framework Development: Contribute to the development and maintenance of GPJWay frameworks, templates, and structures used across all GPJ practices.

Tool Standardization & Optimization

  • Tool Portfolio Management Support: Help manage the proliferation of tools used by GPJ employees by conducting regular audits to document who is using what tools across the agency.
  • ROI Maximization: Work closely with each tool's Subject Matter Experts (SMEs) to understand capabilities and current utilization levels. Develop and track key metrics and processes to measure the return on investment (ROI) for critical agency tools.
  • Training Direction: Support maximum tool utilization by curating and directing employees to the latest training materials and resources for key software and applications, as well as identify training gaps and new material requirements.
  • Slack Efficiency & Governance: Act as the US Slack Subject Matter Expert (SME), focusing on user proficiency, workflow efficiency and maximizing adoption.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Operations, Technology Management, Computer Science or a related field; or equivalent experience.
  • Demonstrated curiosity and interest in Artificial Intelligence (AI), knowledge management, process automation, and tool rationalization.
  • Strong organizational skills with a focus on thoroughness and attention to detail.
  • Excellent written and verbal communication skills; comfortable summarizing complex information clearly
  • Ability to manage multiple priorities and tasks effectively in a dynamic, deadline-driven environment.
  • Proficiency in common workplace applications (e.g., Google Workspace, and Slack).

Your Team

  • Reports to: Head of US Agency Operations & Technology
  • Works closely with: Members of the Agency Operations, Technology and Innovation teams, and the Tech and Innovation Ambassadors across the agency

Salary Range: $50k - $55k

Salary is dependent on a variety of factors including (but not limited to) experience, skills, and location.
