Assistant Community Mgr
Essential Duties and Responsibilities include the following:
- Meets with prospective tenants and records information to ascertain needs and qualifications.
- Assists prospects in viewing amenities, models, and vacant apartments and discusses size and layout of rooms, available facilities, such as swimming pool and gym, and location of nearby shopping, schools, and services.
- Completes new lease and renewal quotes, and completes lease forms or agreements, ensuring resident files are accurate and maintained in a secure place. Collects and is responsible for posting rent and rental deposit(s).
- Depending on property size and staff structure, may help manage/track the approval process of each lease file by contacting previous landlords, employers, etc., as well as staying in contact with a future resident on how the approval process is going and what may still be needed by move-in.
- Responsible for managing rent collection and staying in contact with residents and managers relative to status.
- Generates necessary legal actions, documents, and processes in accordance with State and Company guidelines.
- May aid with or complete accounts payable coding and entering invoices in property management software for Community Director approval.
- Maintains accurate records of all community transactions (i.e., move-ins/outs, collections, end-of-month reporting, etc.) and submits them promptly.
- Answers incoming phone calls, handling each call-in accordance with company directives for phone interactions.
- Depending on property size and staff structure, may be responsible for executing and ensuring leasing teams walk "show" units daily; as needed, may touch up clean surfaces or request housekeeping perform full cleaning of any unit available to show prospective residents.
- Regularly walks the grounds, tour path, and available units to ensure quality control before touring a prospective resident and to communicate inventory to prospects.
- Depending on property size and staff structure, may be required to oversee or maintain contact with prospective residents before and during the leasing process, complete CRM (Customer Relations Management) software duties, and ensure leasing team members adhere to the same.
- Represents property when the Community Director is unavailable,
- Confirms leasing associate techniques are effective in obtaining closing.
- Abides by fair housing laws and confirms leasing associate(s) adhere to same.
- Responsible for the move-out process, which may include inspecting units for charges and final account statement processing.
- Professionally represents the company at all times.
- Depending on property size and staff structure, may be responsible for overseeing or compiling listings of available units for rent, using established company mediums, and using company marketing materials to create advertisements to reflect current market pricing periodically.
- Depending on property size and staff structure, may be required to monitor competitor community pricing, promotions, and concessions and assist with market survey completion.
- Deals with resident concerns and requests on time to ensure resident satisfaction with management.
- Ensures distribution of all company or community-issued notices (i.e., bad weather, emergency, etc.).
- Consistently upholds the policies of the community.
- Performs all other duties as assigned.

Work Environment
Employee is frequently indoors in a temperature-controlled environment and often outdoors walking the grounds.
