Assistant Executive (Operations) (Ref 26485)

Responsibilities

• Support the operations team by ensuring accurate timesheet processing, billing preparation, calculations, data consolidation, and other document preparation.

• Consolidate and validate timesheets submitted by employees and contractors.

• Verify billable man-days/man-hours and ensure supporting information is accurate and complete.

• Perform billing-related calculations based on established guidelines and contracts.

• Prepare and generate billing support documents, reports, and client-specific templates.

• Review data for accuracy, completeness, and compliance with internal requirements.

• Maintain and update records, databases, and trackers.

• Perform data entry and data validation activities.

• Follow up with stakeholders on missing or inconsistent information.

• Prepare periodic operational reports and summaries.

• Support process improvement, AI initiatives and administrative tasks as assigned.

Requirements

• Diploma in Business Administration, Operations Management, or related field.

• 1–3 years of experience in administrative, operations support, billing administration, or data processing roles.

• Proficient in Microsoft office tools, Excel, including formulas, lookups, and data manipulation.

• Strong numerical aptitude and attention to detail.

• Ability to work with large datasets and perform accurate calculations.

• Good organizational and time management skills.

• Able to prioritize tasks and meet deadlines in a fast-paced environment.

• Strong communication and coordination skills.

• Experience in timesheet administration, reporting, data/digitalization management, AI-enabled process will be an advantage.

• Meticulous and detail oriented.

• Strong analytical and problem-solving skills.

• High level of accuracy in data handling.

• Proactive and responsible.

• Team player with a positive attitude.
