Role Overview
This role is responsible for the smooth operation of office with about 20employees. It ensures efficientday-to-day office functioning, strong vendor coordination, and successfuldelivery of workplace initiatives, including office relocation and spacemanagement, while maintaining a positive employee experience.
Key Responsibilities
- Manage office operations, including reception, mail, calls, couriers, and general administration
- Lead office move and relocation activities, including vendor coordination, reinstatement, logistics, and workspace setup
- Oversee office facilities, supplies, equipment, pantry services, and access control systems
- Maintain a well-run, safe, and professional office environment for employees and visitors
- Handle invoice processing, travel bookings (Egencia), and related administrative support
- Coordinate overseas visitor arrangements, including logistics and hospitality
- Manage relationships with vendors and landlords, including service delivery and lease matters
- Support reporting requirements, audits, and administrative submissions to Group
- Assist with employee engagement activities and office initiatives
- Support ad hoc projects and operational improvements as required
Requirements
- 5–8 years’ experience in office administration, facilities, or workplace operations
- Experience in vendor and stakeholder management
- Prior exposure to office relocation or workplace projects is an advantage
- Strong coordination, communication, and organisational skills
- Hands-on, proactive, and able to manage multiple priorities independently
- Experience in multinational or regional organisations preferred
