Assistant Spare Parts Sales
Schedule: Monday – Friday, 10:00 AM – 3:00 PM, with flexible working hours and 1 work-from-home day
- Receive and review request for quotation (RFQ) inquiries, clarify requirements with internal teams, and ensure complete and accurate scope definition
- Prepare and issue quotations using enterprise resource planning (ERP) systems, maintaining accuracy, timeliness, and pricing alignment
- Manage order entry and lifecycle activities in ERP, tracking status and resolving discrepancies to ensure on-time fulfillment
- Coordinate spare parts orders with German headquarters and global affiliates to align supply, lead times, and technical specifications
- Support dispatch, import processes, logistics coordination, and customs documentation to facilitate reliable delivery
- Communicate proactively with customers to provide updates, resolve inquiries, and maintain clear expectations
- Analyze order activity and demand patterns to support sales forecasting and continuous improvement in aftermarket operations
- You will work within the Customer Support team in Japan, collaborating closely with sales, logistics, and global colleagues. You will contribute to a respectful, inclusive environment where clear communication and shared accountability help the team deliver consistent results and support broader organizational success.
- Diploma or degree in supply chain, procurement, business administration, or a related field
- At least 3–5 years of experience in sales support, customer support, or commercial operations
- Fluency in Japanese and English, both written and spoken, with the ability to communicate clearly across stakeholders
- Proficiency in Microsoft Office, including Excel and Word, and experience working with an enterprise resource planning (ERP) system
- Proven ability to manage quotations, orders, and documentation accurately and on time
- Understanding of logistics coordination, import processes, and basic customs requirements
- Strong organizational, time management, and problem-solving skills, with attention to detail
- Ability to collaborate effectively with customers and cross-functional, global teams, with a practical, team-oriented approach
