Assistant to the CEO (f/m/d)

Aesir Interactive is an independent game development studio building ambitious titles for global audiences.
We are looking for a highly organized, proactive, and trusted Executive Assistant to the CEO to support our CEO in day-to-day operations and help keep our Munich office running smoothly. You will work closely with the CEO on scheduling, coordination, communication, preparation, and follow-up.
You are someone who sees what needs to be done, keeps information flowing, handles sensitive topics with discretion, and brings structure to a creative and fast-moving game development environment.
  • Manage the CEO’s calendar, appointments, and priorities, including scheduling internal and external meetings.
  • Prepare agendas, take meeting notes, and track follow-ups.
  • Prepare meeting materials, briefings, presentations, and documents for partner visits, board meetings, studio presentations, and other key appointments.
  • Support the CEO with email and communication management, including prioritizing topics, drafting responses, and protecting focus time.
  • Coordinate business travel, accommodation, itineraries, and related documents.
  • Handle expense reports, receipts, invoices, and administrative follow-ups related to CEO activities.
  • Support board, investor, and publisher communication through preparation, documentation, and follow-up where needed.
  • Handle confidential topics with professionalism, discretion, and good judgment.
  • Be based in our Munich office and help ensure a welcoming, organized, and well-functioning workplace.
  • Help organize team events, office gatherings, company meetings, and internal celebrations.
  • Support routines and processes that contribute to a positive and productive office culture.
  • 5-7 years of experience as an Executive Assistant, Team Assistant, Office Manager, Management Assistant, or in a similar coordination role.
  • Experience supporting a CEO, founder, managing director, or senior leadership team is a strong plus.
  • Strong organizational skills, attention to detail, and the ability to manage several topics in parallel.
  • Confidence in taking ownership without needing constant guidance.
  • Good judgment when deciding what is urgent, what needs preparation, and what needs follow-up.
  • Fluent German skills, as this role involves office coordination, service providers, official documents, and local vendors.
  • Very good English skills.
  • Confident user of Microsoft Office, especially Outlook, Excel, and PowerPoint.
  • Comfortable working with digital calendars, shared documents, and task lists.
  • Able to prepare clear documents, presentations, notes, and overviews.
  • Experience with tools such as Teams, Confluence, or Jira is a plus.
  • Experience in the games industry
  • Basic understanding of HR, finance, invoicing, travel booking, or vendor coordination.
