Your opportunity

As the Assistant to the State Leader, you will provide high-level, confidential administrative support in a fast-paced and complex environment; managing diaries, preparing reports and presentations, coordinating meetings and travel, and helping to streamline systems and processes.

This role goes beyond traditional administration, offering exposure to senior leadership, involvement in reporting and planning activities, and the opportunity to contribute to improving how work gets done. It’s well suited to someone who is highly organised, detail-oriented, and proactive; an admin professional who enjoys variety, takes initiative, and is keen to build their skills while playing a meaningful role in a mission-led organisation.

Your key responsibilities will be to:

  • Provide high-level administrative support to the State Leader, including handling confidential and complex tasks.
  • Manage diaries, correspondence, and communications, ensuring priorities are coordinated effectively.
  • Prepare reports, presentations, and documentation, including collating and analysing data.
  • Coordinate meetings, events, and travel arrangements, including preparation of materials and logistics.
  • Develop and improve administrative systems and processes to support efficiency across the team.
  • Maintain records and ensure compliance, including accurate filing, archiving, and adherence to organisational policies.
  • Manage enquiries and stakeholder relationships, both internal and external, using sound judgement and professionalism.
  • Supervise and support administrative staff and reception functions, ensuring smooth day-to-day operations.

Requirements for success

  • Relevant qualification in Administration, Business, or a similar discipline (desirable).
  • Proven administrative experience supporting leaders in a busy or complex environment
  • Strong organisational and prioritisation skills with the ability to manage multiple tasks autonomously
  • High attention to detail and ability to handle confidential information with discretion
  • Experience preparing reports, presentations, and meeting materials
  • Excellent communication and stakeholder engagement skills
  • Ability to improve and implement administrative systems and processes
  • Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint)
  • Demonstrated judgement, initiative, and sensitivity when supporting diverse or vulnerable communities
