Athletics & Activities/School Trips Assistant - Assistente de Viagens

Contributes to a community that is inclusive, culturally sensitive and equitable, and in which everyone experiences a strong sense of belonging.Responsabilidades e atribuiçõesOversees travel arrangements, and ensures that all extracurricular programs are conducted safely and in full compliance with school policies and regulatory requirements; Collaborates with academic and administrative leadership to promote a balanced integration of cultural, athletic, after school and social activities that enrich the overall educational experience.Coordinates and publishes school-wide yearly and weekly activity calendars in conjunction with the school administration; Assists to maintain a balance between recreational, athletic, cultural, educational, and service activities; Prepares a monthly balance sheet of movement in student trips accounts; Orientates new teachers to school policies and procedures in regard to field trips, and activities under the auspices of the Activities Office; Works in partnership with the Purchasing Department to define and oversee approved travel agencies and Purchasing Procedures for school-sponsored trips, in accordance with institutional regulations and policies; Coordinates all transportation, required permission and insurance forms, and travel documentation for students traveling on school-organized trips; Maintains a close relationship with all divisions of the school; Develops and manages the department’s operational travel budget in accordance with school-wide regulations and policies; Works closely with travel agencies to ensure travelers have proper travel documentation before the trips.Assists teachers, Principals or ATAC Director when meetings are held with the parents; Hold meetings with travel agents to be chosen and vetted by the schoolManage travel allowances and “prestação de contas” required by the Finance Department; Coordinate travel agency arrangements for the trips;Solve emergency situations related to the trips;Travels with the school teams when necessary and requested by the Activities Director;Prepare and submit the annual Activities Calendar and respective costs to SLT approval, including Sports, After School, Summer/Winter Camps and Other student trips from all divisions planned for the year;Attend school events organized by the ATAC Department and others as requested by the Activities Director;Requisitos e qualificaçõesBachelor’s degree in Administration, or related fieldFluent Portuguese & EnglishMinimum: 1–2 years experience working with children of lower school age.
