Bid Administrator

The position helps raise the quality of our bid submissions by applying WSP's Business Development Integrated Management System (BD IMS) and bidding best practice methods to proposal submissions. This role will support the team of bid professionals and technical staff in developing bid submissions for our clients.

  • Collaborate with the work winning team to coordinate and develop innovative, compelling, and quality proposals and other tasks in response to EOI, RFP, RFQ, etc.

  • Create proposal submission templates to the client’s instructions (MS Word)

  • Completing non-technical sections, returnable schedules, standard company information and appendices required for the tender

  • Contribute to the company’s libraries of CVs, project sheets, standard proposal content, etc.

  • Be proactive in coordinating bid actions to keep bids on track, ensuring all deadlines are met, and escalating concerns to business leaders if deadlines are at risk

  • Perform other pursuit and proposals-related tasks as required.

  • Sourcing content from internal, digital libraries

  • Proofing of pre-written material

  • Formatting bid submissions in line with WSP’s brand guidelines

  • Working with Graphic Design team to develop and submit professional bids

  • Perform other pursuit and proposals-related tasks as required

  • Certificate in administration, marketing, communications, journalism or equivalent experience.
  • Typically 2+ years’ experience in bidding, marketing, communications, journalism, or administration
  • Demonstrated proficiency in MS Word
  • Demonstrated English verbal and written communication, strong computer skills

  • Proficiency in MS Office applications, particularly Word, PowerPoint and Teams

  • Flexible and able to adjust with multiple demands and/or shifting priorities

  • Experience in professional services is preferable.
