Bids Coordinator

We<\/span> <\/span>are seeking a dynamic, enthusiastic, and driven individual to\njoin our team to support the Bids Manager\nin implementing a Winning Strategy by coordinating, preparing and managing bids\nand proposals, and ensuring that best practice standards are applied. To\nsupport the Bids Manager in daily bid management activities, to work as part of\nthe team and to promote a healthy and positive working environment. To liaise\nwith technical leads and Managers and maintain positive relationships, to\nensure success.<\/span>

Project coordination of Bid Proposals<\/b>
<\/div>
\u2022\tSupport bid team on bids including setting up pre\- and post\-bid submission analysis, status communication and upkeep of the CRM.
<\/div>
\u2022\tManaging, reviewing and updating bid library content, liaising with the Solutions Team and Product Specialists to create and update Bid Solutions and Compliance Documents.
<\/div>
\u2022\tCoordinate the updating and Maintenance of CVs and Qualifications via the HR team.
<\/div>
\u2022\tCoordinate bid production activities for pre\-qualification questionnaires.
<\/div>
\u2022\tEnsuring quality of bid responses always achieves top scoring and target win rate.
<\/div>
\u2022\tTake ownership in the planning and coordination of bid responses to ensure these are delivered within submission timescales.
<\/div>
\u2022\tConsolidate content from contributors into the required format and flag gaps to Bids Manager.
<\/div>
\u2022\tReading and understanding client bid documentation, deadlines and submission requirements.
<\/div>
\u2022\tContribute to the written proposal \u2013 both in terms of content and presentation.
<\/div>
\u2022\tEnsure best practice and adherence to existing bid procedures, governance and processes.
<\/div>
\u2022\tPerform and coordinate market research.
<\/div>
Editing, reviewing & writing<\/b>
<\/div>
\u2022\tSupporting the Bids Team with writing and review of proposals / assisting with conducting Reviews and holding brainstorm meetings when required.
<\/div>
\u2022\tEnsure that the branding of bids is compliant to the required Brand Guidelines of the company.
<\/div>
\u2022\tEnsuring company CVs are up to date and reviewed.
<\/div>
Bid Library and Model Responses<\/b>
<\/div>
\u2022\tWorking closely with the solutions team, develop and maintain the knowledge library.
<\/div>
\u2022\tAssist in planning the monthly reporting cycle.
<\/div>
\u2022\tLeading on assigned topics and liaising with internal subject matter experts for input / updates and added value.
<\/div>
\u2022\tEnsure the Standard Company Information and Compliance Documentation is up to date.
<\/div>
Liaison & communication<\/b>
<\/div>
\u2022\tEnsure timely and accurate communication with all external bodies involved in the production of a proposal.
<\/div>
\u2022\tEnsure timely and accurate communication within the company of information relating to production and delivery of bid proposals.
<\/div>
\u2022\tPromptly report to and liaise with the Bids Management.
<\/div>
\u2022\tSupport other members of the Bid and Sales Teams and promote a positive team working environment.
<\/div>
\u2022\tAny other ad\-hoc duties to support Bids Management as required.

Requirements<\/h3>

\u2022\tExperience in working within bids or proposals, ideally within a Local Government industry.
<\/div>
\u2022\tA proactive approach and be willing to learn.
<\/div>

\u2022\tExcellent attention to detail, be able to work to multiple deadlines and be able to lead and support others in making sure those deadlines are followed.

Skills and Education<\/u><\/b>

\u2022\t1 \u2013 3 years\u2019 successful experience in a bid\u2019s environment
<\/div>
\u2022\tExcellent English both written and spoken
<\/div>
\u2022\tBid Experience within energy / water / professional services is preferable
<\/div>
\u2022\tKnowledge and understanding of the Public Sector bidding
<\/div>
\u2022\tProven track record of managing multiple projects with time\-critical deadlines
<\/div>
\u2022\tExcellent knowledge of Microsoft Office (Word; Excel; PowerPoint, Project, Visio )
<\/div>
\u2022\tExcellent written and numerical skills
<\/div>
\u2022\tWorking with public sector organizations
<\/div>
\u2022\tKnowledge of public procurement
