The New York City Department of Transportation, Division of Bridges is responsible for managing the full life cycle of over 800 bridges and tunnels and over 600 retaining walls, ensuring safety of the public and ensuring mobility for all users. Team members may work on major project designs, oversee construction, oversee maintenance activities, perform engineering reviews and quality assurance tasks on some of the most iconic and complex projects in the City.
This Administrative Manager reports to the Executive Director of the Bridge Repair unit, and will:

Perform special and related projects whenever and as requested by the Director, or Executive Director.
Under direction, with latitude for independent action or decision, perform difficult and responsible administrative work for the Bridge Repair Unit.
Assist the Director in the preparation of various reports including the Budget and Fiscal reports and the unit’s inventory.
Oversee the day-to-day activities of office staff performing review of source documents, data collection, data entry and retrieval, and preparing routine reports. Ensure that these reports are accurate and submitted in a timely fashion, and source documents are appropriate filed.
Administer contract employee assigned to perform cleaning services for two Bridge Repair facilities
Prepare Unit reports, letters, memos, and other correspondence.
Supervise the preparation of purchase requisitions for equipment, safety, and office supplies for the Bridge Repair Unit.
Responsible for tracking all personnel changes within the Unit including vacancies and ensuring the unit is appropriately staffed. Responsible for the preparation of justifications for various personnel actions. Assist with the interviewing of prospective employees via the review of submitted resumes, contacting desired candidates to schedule interview, ensure completion and collection of associated forms, and copy required licenses and certification.
Assist with the tracking and preparing justification of various budget reports.


Preferred Skills
Proficiency in all Microsoft applications; ability to work independently and to handle many concurrent tasks.

ADM MANAGER-NON-MGRL FRM M1/M2 - 1002C

1. A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
3. A four-year high school diploma or its educational equivalent and six years of
satisfactory, full-time progressively responsible experience as described in "1"
above, 18 months of which must have been in an administrative, managerial,
executive or supervisory capacity. The supervisory work must have been in the
supervision of staff performing clerical/administrative work of more than
moderate difficulty; or
4. Education and/or experience equivalent to "1", "2" or "3" above. However, all
candidates must possess the 18 months of administrative, managerial, executive or supervisory experience as described in "1", "2" or "3" above. Education above
the high school level may be substituted for the general clerical/administrative
experience (but not for the administrative, managerial, executive or supervisory
experience described in "1", "2" or "3" above) at a rate of 30 semester credits
from an accredited college for 6 months of experience up to a maximum of 3½
years.
