Business Operations Executive

Job Summary:

We are seeking a proactive and detail-oriented Operations Executive to support the day-to-day operations of our growing technology startup. The successful candidate will work closely with management and cross-functional teams to improve operational efficiency, coordinate projects, streamline processes, and ensure smooth business operations.

Key Responsibilities:


Operations Management

• Coordinate and monitor daily business operations to ensure smooth execution across departments.

• Develop, implement, and maintain operational processes, policies, and standard operating procedures (SOPs).

• Identify process bottlenecks and recommend improvements to enhance productivity and efficiency.

• Support the implementation of operational initiatives and company-wide projects.

Project Coordination

• Track project timelines, deliverables, and milestones across multiple teams.

• Facilitate communication between Product, Engineering, Sales, Marketing, and Customer Success teams.

• Follow up on action items and ensure projects progress according to schedule.

• Prepare project status reports and operational updates for management.

Business Administration

• Manage company documentation, contracts, vendor records, and operational databases.

• Coordinate procurement of software subscriptions, equipment, and office resources.

• Assist in budgeting, expense tracking, and vendor management.

• Support onboarding and offboarding processes for employees.

Data & Reporting

• Maintain operational dashboards and key performance indicators (KPIs).

• Collect, analyze, and present operational data to support decision-making.

• Generate weekly and monthly reports on operational performance and project progress.

• Monitor resource utilization and operational costs.

Process Improvement & Automation

• Evaluate existing workflows and recommend automation opportunities.

• Assist in implementing productivity and collaboration tools.

• Drive continuous improvement initiatives across departments.

• Ensure adherence to operational best practices.

Stakeholder Management

• Serve as a point of contact for internal teams and external vendors.

• Coordinate meetings, prepare agendas, and document action items.

• Support management in executing strategic and operational priorities.

Requirements:

Qualifications

• Diploma or Bachelor's Degree in Business Administration, Operations Management, Information Systems, or related fields.

• 2–5 years of experience in operations, project coordination, business administration, or a related role.

• Experience in a technology startup or fast-paced environment is preferred.

Skills & Competencies

• Strong organizational and multitasking abilities.

• Excellent communication and stakeholder management skills.

• Analytical mindset with strong problem-solving capabilities.

• Ability to manage multiple projects simultaneously.

• Proficiency in Microsoft Excel and Google Workspace.

• Familiarity with project management tools such as Jira, Asana, ClickUp, or Monday.com.

• Experience with data reporting and dashboard tools is an advantage.

• Self-motivated, adaptable, and able to work independently.
