Business Operations Lead
Position Overview
You'll own the day-to-day operations that keep Mach9 running: people, workplace, IT, internal systems, and the infrastructure that lets a fast-growing team scale without losing rigor. Reporting to the Head of Business Operations and Finance, you'll be the operating partner who turns process gaps into systems, automates manual work, and builds the function as the company grows from 25 to 60+.
This is a hands-on role at a Series A-stage company. You'll be the person who sees what's breaking, fixes it, and then builds the system so it doesn't break the same way twice. You'll work closely with outside counsel on immigration and compliance matters, and own internal operations end-to-end.
Responsibilities
People operations: own onboarding and off-boarding end-to-end; coordinate immigration matters with outside immigration counsel; own workplace policy and governance in partnership with outside employment counsel
Workplace: run the SF office end-to-end, including building management, IT, facilities, vendor relationships, and office moves
IT and internal systems: stand up and own the company's MDM; manage device procurement, identity, and the internal tech stack; build automations to eliminate manual work
Compliance and security: project manage security audit (SOC 2), support business insurance, and ongoing compliance with state and federal employment requirements
Recruiting operations: coordinate onsite interviews, candidate experience, and offer logistics in partnership with hiring managers
Events: plan and execute external conference logistics and employee and team celebrations
Process and documentation: maintain SOPs, internal documentation, and the company wiki; identify and eliminate operational debt as the company scales
What You Bring
5–8 years in business operations, internal ops, or chief-of-staff roles at high-growth startups, including time at Series A through Series C stages
Demonstrated ownership of internal systems implementations
Comfort with ambiguity and pace; you thrive in a build environment where the playbook isn't written yet
High slope on AI tools
Sound judgment on what to own, what to delegate, and what to escalate
Warmth and professionalism; you represent the company internally and externally
