Care Administrator
PRIMARY PURPOSE
The Care Administrator shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators’ calling, values, and purpose: To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.
This position primarily supports the Director(s) of Care, Director of Pastoral Care, Director of Care Initiatives, and Director of Crisis Care, but also provides administrative support to the members of the Care Team.
ESSENTIAL FUNCTIONS
Administrative Support
- Maintain strict confidentiality when handling sensitive employee, Care team, and organizational information
- Maintain professional, respectful interactions with Care staff and stakeholders, contributing to a positive and collaborative team environment
- Inbox management, metrics maintenance, and distribution list management
- Support the technology needs of the Care Department.
- Gather, update, and input financial data for all Care budgets as part of budget requests/submissions for each year.
- Coordinate with Human Resources to update job descriptions and process transfers as needed for Care Team staff.
- Creation and/or distribution of meeting notes and agendas
- Coordinate and assist the Content and Media Manager as needed in the development, editing, and formatting of all new and existing Care Team publications, materials, brochures, and PowerPoint presentations.
- Meet regularly with Directors of Care to align on priorities, review workload, maintain calendars with scheduling support, and support project planning.
Planning, Coordination and Event Support
- Coordinate travel and logistics for Directors.
- Schedule meetings and coordinate related logistics, including rooms and meals, as requested.
- Provide administrative support for projects as assigned.
- When the Navigators Event Planning team is unable, plan and execute various events as needed.
- Provide logistics oversight and support for Care-related events, including but not limited to securing location, contracts, housing, food, registration, and budgets.
- Provide logistics oversight and support for ongoing Care Team-related meetings, seminars, conferences, and workshops.
- Coordinate, schedule, and host any other internal Care Team functions.
Additional Responsibilities
- Regularly pray for the individuals, situations, and focus areas connected to the Care Team’s work.
- Participate in Navigators’ on-site learning and development events, Cultural Development and Diversity trainings, or other non-Navigator developmental events as appropriate.
- Participate in annual processes, such as the organizational Plan and Progress Review (PPR), Engagement Survey, Reaffirmation of the Navigators Code of Conduct, Calling-Core Values-Vision, Statement of Faith, Driver’s Authorization, and other releases as required.
- Attend community sharing and prayer times as able when in Colorado Springs, CO.
- Submit expense reports for Directors as needed, due the 15th of each month.
- Submit time worked on a weekly basis through the Workday Time Tracking system.

MINIMUM AND PREFERRED QUALIFICATIONS
Spiritual: Belief in and adherence to the Statement of Faith and Mission of The Navigators. Willing to commit to the Relational Covenant.
Experience: This role requires strong organization & time management skills. At least 2 years of experience as an administrative assistant. Navigators experience preferred.
Technical Knowledge & Skills: Microsoft Office and ability to learn new software, work with IT in the use and implementation of AI agents, etc..
Communication: Excellent interpersonal and communication skills, including verbal & written, to create understanding and build strong working relationships required.
Education: HS Diploma or GED equivalent required. Associate’s degree or equivalent experience preferred.
Compensation Range: $19.27 -$ 30.15
Location: Hybrid. Must be in the Colorado Springs, CO area. Must be willing to travel approximately 8-10 times a year.
