Client Resources Assistant – Education, Training and Research

The Opportunity

The Otipemisiwak Métis Government is recruiting for one Client Resources Assistant to join our Métis Employment Training and Information Services team in our Education, Training and Research (ETR) department in Calgary. Reporting to the Regional Manager or a designate, this position is the first point of contact for visitors and callers to the Métis Employment Training and Information Services (METI-S) center. The Client Resources Assistant will provide potential clients with information regarding the Education, Training and Research department and the Métis Employment Training and Information Services, programs, and projects and will also play a key role in connecting them to employment and training opportunities.

This role will support the operational functions of the regional office by maintaining and updating job boards and labour market information, assisting self-serve clients, and providing administrative and clerical support to the regional office. The successful candidates will be approachable, organized, and committed to delivering excellent client service.

Key Responsibilities:

  • Greet and assist visitors in person and by phone by providing information about ETR/METI-S programs, services and resources.
  • Manage the phone system, including ensuring the phone tree is activated and functioning properly, and liase with the provider as needed.
  • Schedule and manage client appointments along with making referrals to internal staff and external community resources.
  • Assist self-serve clients with form completion, email setup, resume writing, interview preparation, photocopying, faxing and computer use.
  • Support self-serve clients in accessing labour market information, job boards, and online career tools.
  • Enter and maintain accurate client information in KETO Data Systems in accordance with the Métis Employment Training and Information services, procedures, including creating, updating and archiving client files.
  • Maintain the resource area, ensuring job boards, labour marker materials, and employee postings are up to date and well organized.
  • Maintain client computers and other resource area equipment. Track on-line software & virus updates and clean up data on computers as required.
  • Collect, organize, and update job leads, statistics and employer contact information and share it with clients, employers, and MTE staff as needed.
  • Promote and explain RLI programs, services, and events to clients, employers, schools and community organizations.
  • Liase with external service providers such as housing, childcare, and food banks to connect clients with additional resources.
  • Track client activities, prepare reports on a monthly or quarterly basis, tally log-in sheets and assist with compiling labour market trends and marketing activities.
  • Prepare and distribute correspondence, manage mail and courier services.
  • Participate in outreach and promotional activities to liaison with and deliver information to community agencies, schools and employers regarding RLI’s Programs, Services, Projects and attend community events and meetings as required.
  • Document and distribute staff meeting minutes.
  • Ensure client confidentiality is maintained, and files are secure at all times.
  • Other duties as required or assigned.

  • Ability to work independently and collaboratively in a fast-paced environment with minimal supervision.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Explorer) and willingness to learn new software programs.
  • Knowledge of privacy legislation (FOIP, PIPA) and commitment to confidentiality and ethical standards.
  • Cultural sensitivity and awareness, including an understanding of Métis culture and social, economic, and employment barriers faced by Indigenous individuals.

Qualifications:

  • Diploma or certificate in Human Services, Career Development, Office Administration, or related field is preferred. Relevant experience or training will be considered.
  • Minimum two (2) years of customer service experience
  • Proficient in Office software including Teams, Excel, Word, Outlook and Explorer.
  • Knowledge of education programs/institutions and community resources providing support to clients with barriers.
  • Experience or exposure networking with industry, employers and community partners.
  • Experience in non-profit or Indigenous organizations is an asset.

Other Requirements:

  • Ability to work a regular schedule of 8:30am-4:30pm Monday to Friday.
  • Ability to work evenings and weekends, as required.
  • Ability to travel throughout Alberta, as required.
  • Valid driver’s license and reliable transportation.
  • Submission of a clear Vulnerable Sector Police Information Check.
