About the Job:
Role overview:

We are seeking enthusiastic and service-oriented Client Service Coordinators (Day Shift) to join our growing team. As the first point of contact for clients, you will play a key role in ensuring smooth communication between pet owners and our veterinary teams across all departments.

Key Responsibilities

Client Service & Patient Care

  • Provide a warm, professional, and welcoming experience for clients and their pets from arrival to departure.
  • Assist clients with check-in and check-out procedures efficiently and compassionately.
  • Respond promptly and professionally to client enquiries regarding hospital services, appointments, and patient care.
  • Provide emotional support and reassurance to clients, particularly during emergency or sensitive situations.
  • Ensure clients are kept informed regarding wait times, treatment progress, and relevant updates throughout their visit.

Patient Registration & Communication

  • Accurately register patients, verify client information, and process admissions for both routine and emergency cases.
  • Maintain accurate and up-to-date patient records in accordance with hospital protocols.
  • Liaise closely with veterinarians, nurses, and support staff to ensure smooth coordination of patient care and client communication.
  • Facilitate clear and timely communication between clients and the veterinary team.

Administrative & Front Desk Operations

  • Manage appointments, phone calls, emails, and general enquiries in a professional and timely manner.
  • Process billing, payments, and related administrative documentation accurately.
  • Maintain organized records and ensure administrative processes comply with hospital procedures.
  • Uphold cleanliness, organization, and professionalism within reception and front-of-house areas.

Concierge & Client Experience

  • Foster a calm, welcoming, and client-focused environment within the hospital.
  • Deliver personalized service to enhance client satisfaction and loyalty.
  • Support hospital events, promotions, and external outreach activities where required.
  • Represent Beecroft professionally and positively in all client interactions.

Team Collaboration & Operational Support

  • Work collaboratively with veterinarians, nurses, and hospital staff to ensure a seamless client and patient experience.
  • Support patient intake and assist with transporting animals when necessary.
  • Help manage client flow during peak periods and emergency situations to maintain service efficiency.
  • Provide additional operational and administrative support as required to facilitate smooth daily hospital operations.

Requirements

  • Prior experience in a medical clinic, healthcare, hospitality, or customer service environment is preferred.
  • Passionate about animal welfare and committed to delivering compassionate care and exceptional client service.
  • Reliable and able to perform effectively in a fast-paced and dynamic environment.
  • Strong interpersonal, verbal, and written communication skills with the ability to work collaboratively within a team.
