Job Summary

Responsible for assisting the front desk staff with clerical responsibilities and patient scheduling. May assist therapy staff with maintaining the physical environment and equipment, compilation of daily statistics, maintaining inventory of supplies, and patient treatments.

Essential Functions

  • Assisting with answering the phones and regularly checking messages.
  • Greeting patients and checking patients in at the front desk and supplying new patients with proper paperwork on arrival to their initial therapy sessions.
  • Co-payment collection.
  • Assisting with routine paperwork.
  • Maintains department files as directed.
  • Photocopies, faxes and mails departmental materials as requested.
  • Scans paperwork in Epic.
  • Demonstrates knowledge and skill in computer use, including word processing, spreadsheets, email, document printing, Internet searches and scheduling software.
  • Contact patients regarding same day or short-term changes to their schedule.
  • Contact new patients to confirm treatment sessions.
  • In conjunction with site Front Desk Representative and/or Front Desk Coordinator, schedules patients for their initial evaluations and future treatment sessions.
  • Assist in cleaning treatment rooms, mats between patient treatments as needed.
  • Clean mats and exercise equipment as requested.
  • Clean hot pack and paraffin machines on scheduled basis as assigned.
  • Defrost cold pack machine on scheduled basis as assigned.
  • Restore treatment rooms on daily basis as assigned.
  • Assist clinic supervisor in compiling statistical information including number of patients/PT/day, number patients total/day, patient type, length of treatment, reimbursement source as assigned.
  • Maintain inventory of supplies used for daily treatments (linen, hot packs, cold packs, paraffin, etc.) as assigned.
  • Maintain inventory of medical supplies, cleaning agents, and other patient-care related items, and assure they are all up-to-date with the current department regulations.
  • Maintain office supplies.
  • Maintain patient education booklets, etc.
  • Assist in a variety of patient treatments.
  • Assists therapist with patient transfers, demonstrating good body mechanics.
  • Reinforces therapist directed therapeutic techniques during patient practice (non-skilled, non-billable)
  • Demonstrates punctuality/observance of work schedule.
  • Demonstrates dependability/reliability.
  • Demonstrates flexibility, appropriate response to stressful situations, and good time management skills.
  • Communicates with patients with respect and on appropriate level (e.g. clear instructions, uses discretion, sensitive to emotional status and speech/cognitive/perceptual deficits).
  • Seeks supervision as necessary; aware of own limitations.
  • Demonstrates awareness of patient capabilities/limitations.
  • Demonstrates awareness of surroundings (e.g. needs of other staff/patients) and safety of work area.
  • In conjunction with site Front Desk Representative and/or Front Desk Coordinator, contacts physician offices to obtain additional information as needed for patient treatments.
  • In conjunction with site Front Desk Representative and/or Front Desk Coordinator, contacts patient's to obtain information to schedule appointments as needed.
  • Relays information to patients via the telephone for therapist regarding treatments and scheduling.
  • Manages phone calls from the community regarding general services at Burke.
  • Active participant in department and team problem solving and projects.
  • Volunteers assistance.
  • Notifies immediate supervisor of need for equipment, materials or supplies, or follows department procedure.
  • Maintains an awareness of department issues, and projects a cooperative attitude, and promotes positive problem solving.
  • Complies with department and facility mission, values and policies.
  • Respects co-workers.
  • Demonstrates the ability to communicate with pediatric, adolescent, young adult and geriatric patients and visitors.
  • Practices Standard Precautions. Follows regulations, policies and guidelines on the prevention of infections; does not eat or drink in patient care areas.
  • Maintains confidentiality of information; abides by HIPAA regulations.
  • Maintains a professional image and follows Hospital’s policy on uniforms; consistently wears hospital ID.
  • Demonstrates reliable, on-time attendance, which is an essential function of all jobs at Burke.
  • Completes mandatory annual learning (Learning Harbor) within deadline.
  • Personally adheres to Burke C.A.R.E.S. philosophy by demonstrating compassion, accountability, respect and exceeding expectations through service excellence.

Qualifications

  • High School Required and
  • Required
  • Previous customer service and patient care experience Preferred and
  • Goal direction of a health care career Preferred and
  • EPIC experience Preferred
  • Works well with all levels of program personnel, patients, families, clinical service personnel, unit management, physicians, and other satellite personnel.
  • Quick learner, high level of initiative, good judgment, good communication and interpersonal skills, maturity, flexibility.

Work Schedule - Monday/Wednesday, 9:30am-5:30pm & Tues/Thurs/Fri, 9:00am-5:00pm
