Clinic Coordinator

Position Summary

The Clinic Coordinator is a key role in creating a welcoming experience to the community we serve at our clinics. Whether it is greeting guests, registering and scheduling patients, or completing confirmation calls, the Clinic Coordinator sets the tone for our patient experience. This position requires working cooperatively and collaboratively with other team members to provide an excellent patient experience.

  • Create a welcoming experience for all patients entering the building.
  • Maintain confidentiality of all patient information in alignment with HIPAA regulations.
  • Register new patients and assist them in completing registration forms.
  • Obtain and enter accurate demographic information into organization’s EHR.
  • Verify insurance and provide information regarding MCC’s discount program.
  • Collect, record payments and discuss financial arrangements with patients.
  • Schedule appointments using MCC’s scheduling protocols
  • Act as a liaison for the patients and the organization by directing calls appropriately and using sound judgement in handling calls, especially with upset patients.
  • Understand and implement basic de-escalation techniques
  • Understand when to escalate interactions to a supervisor.
  • Answer phones, screen patients, and respond to phone messages
  • Make outbound calls to reschedule appointments, respond to provider, clinical staff requests to call patients
  • Maintains reception and front desk areas to ensure they are clean, presentable, and inviting.
  • Performs other related duties as assigned.

Qualifications

  • High school diploma or equivalent required
  • General office skills required, including how to use typical office equipment, such as telephones, computers, fax machines and scanners
  • Bilingual Spanish/English or other fluencies preferred
  • Previous experience in customer service or health care setting preferred
  • Experience in EMR or data entry preferred

Work Environment and Physical Demands

This job operates in a healthcare setting. This role may occasionally come into contact with patients who may have contagious illnesses. This position is very active and requires standing, and/or walking, bending, kneeling, and stooping. The employee may need to lift and/or move items over 20 pounds.
