Clinical Education Events Specialist EMEA
The Clinical Events Specialist (EMEA) provides advanced operational, process, and event support to the Clinical Education (ClinEd) organization across EMEA.
The role is responsible for ensuring the smooth execution of procurement, financial workflows, vendor onboarding, and educational events, while increasingly acting as a trusted partner to stakeholders.
In addition to core execution, the position contributes to process improvement, stakeholder alignment, and problem resolution, supporting the scalability, quality, and consistency of ClinEd programs in a complex, cross‑functional environment.
Procurement, Financial & Operational Management
- Create and manage PRs and POs in SAP, ensuring accuracy, compliance, and timely execution.
- Monitor budgets, PO balances, and support forecasting and accrual activities in coordination with Finance.
- Review and approve invoices, proactively identifying issues and coordinating resolution with AP Europe.
- Coordinate vendor onboarding via Aravo, ensuring completeness and compliance of documentation.
- Identify recurring issues in financial workflows and suggest improvements to enhance efficiency.
Clinical Events & Program Operations
- Provide operational support for Clinical Education activities (FDS, Advisory Boards, events), ensuring high‑quality execution.
- Coordinate with agencies and internal stakeholders, aligning timelines, requirements, and deliverables.
- Review forecasts and inputs from agencies, ensuring consistency and supporting budget accuracy.
- Act as a reliable partner to event owners, ensuring processes and documentation are completed effectively.
- Support continuous improvement of event execution processes and tools.
Stakeholder & Faculty Support
- Serve as a key operational contact for internal stakeholders, agencies, and external faculty.
- Guide speakers and partners through onboarding, invoicing, and reimbursement processes.
- Provide clear and professional communication, ensuring a positive stakeholder experience.
- Proactively identify and resolve operational issues, escalating when necessary.
- Build strong working relationships across functions and regions.
Systems, Tools & Process Improvement
- Support SFDC campaign management and CRM-related activities.
- Contribute to the effective use of Align Partner Platform and other internal tools.
- Provide guidance on Concur processes and support users when required.
- Act as a go‑to resource for ClinEd operational processes and internal systems.
- Identify opportunities for process improvements and support implementation of enhancements.
- Bachelor’s degree (or equivalent) or minimum of 2–3 years of relevant experience.
- Strong operational and organizational skills with attention to detail.
- Ability to manage multiple priorities and deadlines with reliability.
- Solid communication and stakeholder management capabilities.
- Proactive and solution‑oriented mindset.
- Ability to work independently within defined frameworks, showing increasing autonomy.
- Customer‑oriented approach with focus on service quality.
Preferred Qualifications
- Experience supporting international events or complex operational environments.
- Familiarity with SAP, SFDC, Concur, Aravo, or similar systems.
- Experience identifying or supporting process improvements.
- Background in healthcare, medical education, or corporate environments.
This position is office-based and can be based in either Wroclaw, Birmingham, or Madrid
