Club Coordinator - Mammoth Lakes Mountain Club
Position Summary
The Club Coordinator is responsible for managing all administrative functions for the Club, including member communications, event scheduling, and benefit program oversight. This role supports the day-to-day operations by maintaining accurate records, coordinating internal processes, and acting as a key point of contact for members. The Club Coordinator also provides support for food and beverage operations, events, and bartending duties as needed. This role reports to the Club Manager.

Essential Job Functions/Key Job Responsibilities
• Manage all Club administrative functions, including membership reports, applications, and benefit tracking while ensuring timely completion of reports and tasks to meet all established deadlines
• Create and maintain the monthly Club schedule of events and handle all communication with members via email, direct mail, phone, and in-person correspondence
• Ensure familiarity and compliance with all Club rules, regulations, and procedures
• Maintain an organized and professional office environment, including ordering supplies and managing collateral
• Oversee organization and cleanliness of ski locker area
• Train and support seasonal Concierge staff and provide Concierge services two days per week during ski season
• Assist with Club projects, promotions, and special assignments as needed
• Serve as an additional support staff member during peak periods or special events
• Assist with food and beverage service during Club events, peak service periods, and member functions as needed
• Support basic bar operations, including bar setup, breakdown, restocking, glassware organization, and maintaining cleanliness of service areas
• Bartend or assist with beverage service when needed, in accordance with company policy and applicable alcohol service regulations
• Other duties as assigned
Education & Experience Requirements
• High School Diploma or GED required
• 1 year prior administrative or office coordination experience preferred
• Experience working in a hospitality, club, or luxury service environment is highly desirable
Knowledge, Skills & Abilities
• Strong computer proficiency, including Excel, desktop publishing, and email marketing tools
• Exceptional written and verbal communication skills
• Ability to manage time effectively and work independently with minimal supervision
• Proven ability to handle sensitive information with discretion
• Detail-oriented and highly organized, with excellent follow-through
• Customer-focused mindset and the ability to engage with a high-end clientele
• Flexible and adaptable to shifting priorities or last-minute needs
• Collaborative team player willing to support other departments when needed
• Strong problem-solving and critical thinking abilities
• Familiar with private club office and membership systems
Work Environment & Physical Demands
• Ability to be on your feet, kneel and bend for extended periods of time
• Regularly work in adverse conditions and requiring the use of protective apparel/equipment to prevent exposure to the elements as well as an office environment and may be required to walk on slippery and uneven surfaces
• Must be able to lift, push or pull up to 50 lbs. individually or with assistance (weight limits can vary according to position, but no more than 50)
