Commissioning Document Controller – LEP (Fixed-Term)

Reporting to the Senior Document Controller - LEP, you will be responsible for managing and controlling all commissioning documentation, ensuring accuracy, completeness, and timely availability of records to support pre-commissioning, commissioning, and handover activities. You will play a key role in ensuring all systems are properly documented and ready for operational handover.
Your duties will include but are not limited to the following:
Establishing and maintaining a structured document control system for all commissioning documentation (Inspection/test requirement documentation, check sheets, procedures, and handover packs).
Managing the numbering, revision control, distribution, and filing of commissioning documents.
Coordinating the compilation and tracking of Mechanical Completion (MC) and Commissioning Completion (CC) documentation.
Ensuring all commissioning records are progressively compiled, verified, and aligned with project specifications and turnover requirements.
Tracking and reporting on documentation status, including completeness and readiness for system handover.
Liaising with engineering, construction, and commissioning teams to ensure timely submission and approval of documentation.
Monitoring document workflows to ensure timely review, approval, and close-out of punch list items and associated documentation.
Maintaining accurate registers for system turnover packages and handover certification.
Supporting audits by ensuring all commissioning documents are readily retrievable and compliant with internal (SOX) and external audit requirements.
Preparing weekly and monthly progress reports on documentation status for commissioning activities.
Ensuring document control practices comply with company standards, procedures, and digital systems (e.g., SharePoint or equivalent EDMS).
To be considered for the position, you must meet the following requirements:
Full Grade 12 Certificate
Minimum 2 years of experience in document control, preferably within engineering, construction, or commissioning environments
Bachelor’s degree in information management, Records & Archives Management, Library and Information Systems, Engineering Administration, or related field
Strong understanding of commissioning processes, system handover, and turnover documentation.
Advanced proficiency in Microsoft Excel and document management systems
Experience working with document control systems such as Aconex, SharePoint, or similar EDMS platforms
Knowledge of ISO standards and document control best practices in project environments
High attention to detail with strong organizational and coordination skills
Excellent written and verbal communication skills
Member of relevant professional body (e.g., ZARMA / LIAZ) will be an added advantage
