Corporate Executive Assistant
Overview
Good Shepherd Hospice is seeking a highly organized, proactive, and professional Executive Assistant to provide administrative support to corporate leadership, including Sales and Marketing executives. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, excels at managing multiple priorities, and maintains the highest level of confidentiality and professionalism.
The Executive Assistant will play a key role in supporting leadership operations, coordinating corporate events, managing calendars and reporting, and ensuring the efficient execution of administrative functions that contribute to organizational success.
Responsibilities
- Provide executive-level administrative support to corporate leadership, including Sales and Marketing leaders.
- Coordinate and execute corporate meetings, trainings, and special events, including National Sales Meetings and New Hire Training programs.
- Manage all event logistics, including travel arrangements, accommodations, meals, meeting materials, presentations, and schedules.
- Prepare and distribute weekly, monthly, and quarterly Sales and Marketing reports.
- Maintain executive PTO calendars and assist with leave processing.
- Process time and attendance records for corporate leadership.
- Support expense management and reimbursement processes.
- Assist with the preparation and formatting of PowerPoint presentations and other executive materials.
- Identify opportunities for process improvements and recommend enhancements to workflows, procedures, and operational efficiencies.
- Order and maintain office supplies for corporate staff.
- Receive and distribute incoming correspondence and deliveries.
- Answer, screen, and route incoming calls while providing exceptional customer service.
- Maintain strict confidentiality regarding employee information and protected health information (PHI).
- Perform additional duties and special projects as assigned.
Qualifications
Required
- 3–5 years of executive or administrative support experience in a C-suite or senior leadership environment.
- Strong organizational, multitasking, and prioritization skills.
- Excellent verbal and written communication abilities.
- Advanced proficiency in Microsoft 365, particularly Outlook, Excel, and PowerPoint.
- Ability to handle confidential information with discretion and professionalism.
Preferred
- Education in Business Administration, Healthcare Administration, or a related field.
- Experience supporting Sales, Marketing, or healthcare leadership teams.
