Title/Position: Criminal /Notification Clerk

FLSA Status: Non-exempt

Department: Clerk

Supervisor: Clerk

Hours Work: 8:00am to 4:00pm

Monday thru Friday


Purpose of Position:

Process e-filed and paper pleadings. Assess and process sheriff’s fee. Assists Public, court staff, prosecutor, probation, sheriff departments with any issue’s or problems. Accept and process new criminal and juvenile filings in Incite. Ensure documents filed are Administrative Rule 9 compliant. Process new juvenile cases, search warrant filings and returns. Process transfers incoming and outgoing. Do random Judge selection. Transfer cases within courts and transfer and accept transfers with town courts. Recall warrants per orders. Prepare cases for video for court and prosecutor staff.

Notifies on court cases, process warrants. Multitask and navigate between 5 computer systems daily. Process pleadings in e-file system and paper filings. Obliterate cases or reassign cases. Assess cash bonds and make entry on case.


Essential Duties: (include but not limited to)

  • Enter satisfactions, set aside judgments and bankruptcy in judgment book
  • Relate orders to entry for electronic notifications
  • Print orders or court documents and prepare envelopes for mailings
  • Provide case numbers for video court for court staff and prosecutor staff
  • Ensure proper law enforcement gets notified with Protective orders
  • Provides direction to others when problems or questions arise.
  • Prepare certified mailing for documents that must be certified mailed
  • Balance cash bond money bag end of each day
  • Multitask and navigate between 7 computer systems daily
  • Update addresses Odyssey
  • Enters Lis Pendens notices and updates in appropriate book.
  • Assists public, court staff, attorney’s, other county offices.
  • Answers phone calls
  • Initiate new criminal and juvenile filings, search warrant filings, returns and SR-33 filings
  • Re-create JP cases in Odyssey
  • Scan documents into Odyssey system when documents are paper filed.
  • Communicate with those E-Filing documents when there is an error in filing.
  • When processing pleadings must update all filing codes and descriptions, check addresses, ensure fees are paid or accessed, enter flag on case when necessary, add parties and ensure documents are Administrative Rule 9 compliant
  • Make sure all cases are being pushed to correct court queue if not automatically directed
  • Transfer and accept transfers from town courts
  • Process trial de novo cases and post -conviction relief cases
  • Be knowledgeable of different case types and what type of case each court accepts.
  • Prepares copies and envelopes for cases that need notification if no email address available
  • Assist in file marking all court documents
  • Assist with file marking mail and put in appropriate place
  • Prepares outgoing mail
  • Notify on court cases
  • Must keep current with Federal, State and Local law updates and changes
  • Keep Clerk informed of any issue’s, changes or problems as they occur
  • Assist in maintain log of commercial bondsman license and power
  • Assist with other duties when others are absent
  • Perform other duties as assigned.
  • Basic computer skills, Excel, Word
  • Working knowledge of the court system and legal terminology
  • Ability to maintain confidentiality
  • Ability to coordinate workload among employees
  • Ability to effectively and tactfully deal with other people
  • Ability to operate basic office equipment
  • Good organizational skills
  • Ability to work basic math problems
  • Ability to communicate well, both verbally and in writing
  • Working knowledge of general office practices, such as filing, record keeping, phone etiquette, etc.
  • Attention to detail

Education & Qualification Requirements:

  • High school diploma or GED
  • Able to work in high stress level environment

Responsibility:

Incumbent works under established guidelines and procedures. Tasks require some selection of applicable methods and procedures, and some discretion in scheduling employees and adjusting workload. Errors cause Excessive risk and cost repercussions.

Errors in work can cause significant inconvenience to the public or significant loss of time to the department and courts.


Working Relationships:

Working relationships are with supervisor, associates in same department, other county departments, courts and the general public for the purpose of communicating factual or procedural information.


Working Conditions & Physical Demands:

Work is performed in a standard office environment.
