CS Coordinator

Essential Duties and Responsibilities

• Facilitate the onboarding process for clients with sponsor employers.

• Build and maintain positive working relationships with sponsors, account managers, and internal team members.

• Assist clients with onboarding activities, including employment applications, background checks, drug screenings, orientation scheduling, and employment documentation.

• Communicate regularly with clients, sponsors, account managers, and internal team members regarding hiring processes, onboarding requirements, and case progress.

• Maintain accurate and up-to-date clients, sponsors, and case information within HubSpot and other tools used.

• Monitor onboarding pipelines and ensure timely progression of client placements.

• Stay informed of sponsor hiring needs, operational changes, and workforce requirements, and communicate updates to the team ahead of time.

• Work closely with Account Managers and sponsors to maintain current employer information, contacts, hiring processes, and onboarding requirements.

• Provide timely updates to management, including project updates, case status reports, and ad hoc reporting as requested.

• Assist with triage and resolution of client case-related issues, escalating concerns to the Client Services Manager when appropriate.

• Create and maintain sponsor profiles, onboarding resources, and employer documentation.

• Ensure client resources, city guides/settlements, and relocation materials information remain accurate, updated, and consistent.

• Support special projects, process improvements, system implementations, and departmental initiatives as assigned.

• Perform other duties as assigned. The coordinator role will also serve as a backup for the CS Pre-Hire Specialist position when coverage is needed due to absences or operational demands to support clients throughout the pre-relocation process, ensuring they successfully complete all required steps to relocate to the worksite and are fully prepared to begin employment with their sponsoring employer. This cross-functional responsibility helps maintain service continuity, client readiness, and a seamless transition from case approval to worksite onboarding.

• Comfortable communicating by phone, email, video conference, and in person when needed.

• Proficiency with CRM systems (HubSpot preferred), Microsoft Office Suite, and collaboration tools.

Preferred Experience

• Experience in customer service, account coordination, onboarding, staffing, workforce development, immigration support, or related fields.

• Experience in the onboarding phase of employer-employee relations (applications, background checks, orientations, etc.)

• Experience working with CRM systems and case management platforms.

• Experience coordinating multiple cases and managing high-volume communications while maintaining a strong balance between task execution and relationship-building.
