IE Business School is seeking a highly organized, proactive, and service-oriented professional to join the Dean’s Office team on a temporary basis to cover a maternity leave. Reporting directly to the Dean of IE Business School and providing support to the Vice Deans, this role is essential in ensuring the smooth day-to-day operation of the Dean’s Office. Responsibilities
Your role as a Dean's Assistant will involve:
- Manage and coordinate the Dean’s calendar, including scheduling meetings, appointments, and institutional engagements.
- Provide administrative and operational support to the Dean and Vice Deans.
- Organize domestic and international travel arrangements, including flights, accommodation, transportation, and itineraries.
- Coordinate meetings and events led by or involving the Dean’s Office.
- Support the planning and execution of internal events, ensuring seamless logistics and stakeholder coordination.
- Act as a key point of contact for internal and external stakeholders interacting with the Dean’s Office.
- Ensure the Dean’s Office is properly equipped and organized, overseeing office-related needs and supplies.
- Assist with the preparation and distribution of surveys, reports, presentations, and other administrative materials as required.
- Support follow-up actions, meeting coordination, and general administrative tasks across the Dean’s Office.
- Provide flexible, proactive assistance on a wide range of matters to support the Dean and Vice Deans in achieving their objectives.
Qualifications
To thrive in this role, you should possess the following qualifications:
- Previous experience as an Executive Assistant, Personal Assistant, Office Coordinator, or in a similar administrative support role.
- Excellent organizational and time-management skills.
- Strong attention to detail and ability to manage confidential information with discretion.
- Ability to prioritize tasks and work effectively under pressure.
- Outstanding interpersonal and communication skills.
- Proactive mindset and strong service orientation.
- Fluency in English and Spanish, both written and spoken.
- Advanced knowledge of Microsoft Office and digital collaboration tools.
