Digital System Specialist

We have an exciting new opportunity as a Digital System Specialist within our Document & Systems Team based in our Silverdale, Auckland Office.
In this role, you’ll support the performance, maintenance and ongoing improvement of M-Files and related digital tools across the business. You’ll work alongside our Digital Systems Manager and wider teams to keep systems running well, improve workflows, support users and help us find smarter ways of working.
This is a role for someone who has a strong interest in technology, a practical problem-solving mindset and a friendly, approachable style. You will be someone who is always willing to help, enjoys supporting others and can communicate technical information in a clear and simple way.
On-the-job and ongoing training will be provided for our business processes, M-Files and its associated tools, and you will be well supported by the Digital Document and Systems team.
This position is offered on a fixed-term basis until November 2027, aligned with project timelines. There is potential for the role to be extended or transition to a permanent position as project requirements evolve.
Key role responsibilities
Support the management, maintenance and optimisation of M-Files and associated digital tools.
Provide user support, troubleshooting and practical guidance on system functionality, workflows and best practice.
Develop training materials, user guides and video resources to lift confidence and consistency across the business.
Work with internal teams to improve digital workflows, business processes and system performance.
Assist with reporting requirements and support ongoing digital improvement and innovation.
We’re looking for someone with
Holds experience working with M-Files, business systems, workflow tools, reporting tools or similar digital platforms, ideally within the construction or engineering industry.
A sound understanding of system support, digital workflows, process improvement and user enablement.
Strong working knowledge of Microsoft 365 applications, including Outlook, Teams, SharePoint, OneDrive, Word, Excel and PowerPoint.
The ability to quickly learn, adapt to and support M-Files functionality, associated tools and new digital systems.
Strong process knowledge and the ability to identify opportunities for improvement.
Excellent analytical, problem-solving and communication skills.
The ability to work collaboratively as part of a team while managing multiple priorities in a fast-paced environment.
Knowledge of Power BI would be beneficial but is not essential.
A qualification in Information Technology, Business Systems, Digital Transformation or a related discipline would be advantageous but is not essential.
