BTG Pactual US is seeking a highly experienced and execution-oriented Director, Mortgage Fulfillment & Secondary Markets to lead the end-to-end mortgage fulfillment function, processing infrastructure, and secondary market readiness for a growing residential mortgage platform.
This role serves as a key mortgage fulfillment and processing leader responsible for mortgage processing, fulfillment, pipeline execution, workflow management, vendor coordination, regulatory compliance, and scalable process implementation across the mortgage lifecycle. The individual will oversee mortgage fulfillment activities from loan opening through closing and funding while partnering closely with Sales, Credit, Underwriting, Compliance, Risk, Legal, and centralized Bank Operations to deliver exceptional client experience. This position reports directly to the Head of Mortgage, US, and serves as a critical leader supporting the continued growth, scalability, risk management, and execution of the mortgage platform.
As the mortgage platform grows, this role will also support the development and oversight of secondary market execution, investor relationships, lock desk practices, pricing administration, loan sale readiness, correspondent delivery strategies, and mortgage lending program development.
This position is designed as a player/coach leadership role, requiring both strategic leadership and hands-on execution during the early stages of platform growth, with responsibility for building, leading, and managing mortgage fulfillment personnel over time.
The ideal candidate will possess deep mortgage fulfillment, processing, and workflow expertise, strong regulatory and compliance knowledge, secondary market familiarity, and a demonstrated ability to build scalable processes within a high-touch, client-centric banking environment
Key Responsibilities
Mortgage Fulfillment & Processing Leadership
- Lead and oversee the end-to-end residential mortgage fulfillment process from loan opening through closing and funding, including coordination with centralized Bank Operations for post-closing activities, booking, collateral perfection, and ongoing operational support.
- Manage mortgage processing workflows to ensure operational efficiency, quality control, service excellence, compliance, and timely loan execution.
- Review approved credit decisions and coordinate all documentation, conditions, and requirements necessary to satisfy closing conditions.
- Oversee the collection and review of documentation including appraisals, title reports, insurance, flood certifications, commitment letters, legal documentation, collateral documentation, payoffs, disclosures, and regulatory requirements.
- Manage and oversee the mortgage disclosure process to ensure accurate, timely, and compliant preparation, issuance, and management of initial and revised disclosures in accordance with applicable regulatory requirements, internal policies, and service-level expectations, including RESPA, TRID, ECOA, HMDA, Fair Lending, and applicable federal and state mortgage regulations.
- Coordinate effectively with Underwriting, Credit Risk, Compliance, Legal, Sales, Relationship Managers, and external parties to facilitate timely loan closings and issue resolution.
- Serve as primary liaison among internal stakeholders, third-party vendors, settlement agents, title companies, attorneys, appraisal management companies, and borrowers.
- Ensure loan files are complete, compliant, and fulfillment-ready prior to closing and funding, while establishing and achieving standardized service-level expectations (SLAs).
- Oversee funding, disbursement accuracy, and coordination with centralized Bank Operations regarding loan booking, post-closing documentation, collateral perfection, trailing documents, and quality assurance requirements.
Operational Excellence & Process Management
- Develop, implement, and continuously improve mortgage fulfillment processes, workflows, controls, and service standards in partnership with centralized operational teams.
- Drive operational efficiency, pull-through optimization, cycle time improvement, and process scalability as the mortgage platform expands.
- Lead implementation of workflow enhancements, automation initiatives, technology improvements, and scalable fulfillment processes.
- Partner with leadership to operationalize new products, programs, policies, regulatory requirements, and strategic initiatives.
- Monitor pipeline performance, service levels, aging, fallout trends, and operational metrics to identify opportunities for improvement.
- Establish and maintain reporting, dashboards, and performance metrics related to pipeline management, fulfillment efficiency, service levels, and execution effectiveness.
- Ensure consistent adherence to bank policies, procedures, audit standards, and risk management expectations.
Team Leadership & Talent Development
- Lead, mentor, and manage mortgage processing and fulfillment personnel, including future direct reports as the platform scales.
- Build a high-performing processing and fulfillment team focused on accountability, responsiveness, accuracy, communication, and client experience.
- Develop training, procedures, job aids, and best practices for fulfillment personnel.
- Foster strong communication, collaboration, and partnership across Sales, Credit, Underwriting, centralized Bank Operations, Compliance, and Executive Leadership.
Compliance, Risk Management & Quality Control
- Maintain strong oversight of mortgage compliance, quality control, audit readiness, and regulatory adherence.
- Ensure fulfillment processes meet all applicable federal, state, investor, and internal policy requirements.
- Oversee HMDA-related operational data integrity and support regulatory reporting requirements.
- Partner closely with Compliance, Legal, Risk, and Internal Audit to implement controls and remediate operational findings, if applicable.
- Monitor loan documentation quality, regulatory disclosures, funding accuracy, and file completeness to ensure a high standard of execution.
- Maintain awareness of evolving regulatory requirements and mortgage industry operational best practices.
Vendor Management & Technology
- Manage key third-party mortgage vendors and fulfillment partners including LOS, PPE, appraisal management companies, title providers, flood vendors, compliance systems, and closing service providers.
- Partner with internal technology and business stakeholders to support mortgage technology implementation, enhancements, integrations, and process optimization.
- Evaluate vendor performance and service-level standards to ensure operational effectiveness and client satisfaction.
Secondary Markets
- Support the development and execution of a secondary market lending platform and correspondent lending capabilities as the mortgage platform matures.
- Lead onboarding and management of investor relationships, including agency, non-agency, jumbo, portfolio, and correspondent lending partners.
- Support mortgage lending program development and implementation, including new product onboarding, investor guidelines, operational readiness, and fulfillment process integration.
- Coordinate negotiation, implementation, and ongoing administration of Mortgage Loan Purchase Agreements (MLPAs), correspondent agreements, investor due diligence requirements, and related operational documentation.
- Assist in management of investor relationships, loan delivery requirements, due diligence expectations, and loan sale readiness.
- Oversee mortgage lock administration, lock policy adherence, pricing updates, and pipeline monitoring to mitigate operational and market risk.
- Coordinate complete and accurate delivery of loan packages for investor purchase, due diligence review, and third-party quality control.
- Partner with leadership on pricing, margin optimization, lock desk functionality, and secondary execution strategy.
- Maintain understanding of agency, non-agency, jumbo, portfolio, and correspondent lending requirements.
Qualifications & Experience
- Bachelor’s degree in Business, Finance, Accounting, Economics, or related field preferred.
- Minimum 10+ years of mortgage banking experience with meaningful experience in mortgage processing, fulfillment, secondary marketing, capital markets, mortgage workflow management, or mortgage fulfillment leadership.
- Demonstrated experience managing end-to-end residential mortgage fulfillment.
- Prior experience building, scaling, or enhancing mortgage fulfillment processes preferred.
- Strong understanding of residential mortgage loan products including jumbo, portfolio, ARM, non-QM, and agency mortgage structures.
- Working knowledge of mortgage secondary markets, investor delivery, lock desk operations, pricing, correspondent lending, and loan sale execution preferred.
- Strong familiarity with federal mortgage regulations including RESPA, TRID, ECOA, HMDA, Fair Lending, Flood, and applicable compliance requirements.
- Experience working with mortgage loan origination systems, pricing engines, compliance systems, and mortgage technologies.
- Prior people leadership and team management experience strongly preferred.
