Director of Operations, Housing Supportive Services (53045)
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Director of Operations will provide hands-on operational, administrative, and strategic support to the Supportive Services Division. They will assist with executive project management, divisional operations, data tracking, reporting, compliance coordination, strategic initiatives, and interdepartmental collaboration. This role will serve as a key liaison between divisional leadership and internal and external stakeholders and will support the implementation of operational priorities that advance the mission and strategic goals of RiseBoro Community Partnership. Specific duties include:
- Provide direct operational and strategic support to the Vice President of Housing Supportive Services
- Assist in implementing divisional priorities and strategic initiatives; serving as point person on new cross-divisional and organization-wide initiatives
- Coordinate and monitor special projects and executive assignment; track progress on divisional goals, initiatives, and action items
- Prepare program reports, presentations, dashboards, and executive summaries
- Support preparation for executive meetings, board meetings, and funder presentations
- Assist with internal communication and dissemination of leadership directives
- Lead coordination and monitoring of supportive services operations across programs
- Identify operational inefficiencies and recommend process improvements
- Lead implementation of systems that enhance service delivery and workflow management; establish standards of practice and manualize existing processes
- Monitor timelines and deliverables across multiple projects and departments
- Lead and track project management and coordination for all new supportive services programs and contracts, including tracking workflows to ensure timely deliverables on new programs and developments
- Assist with policy and procedure development and implementation across all programs
- Lead development of emergency preparedness and safety planning processes, including fire safety procedures and compliance initiatives
- Coordinate cross-functional initiatives across departments and support divisional compliance efforts and quality assurance initiatives
- Assist with tracking contractual deliverables, program KPIs, and reporting deadlines
- Coordinate data collection and reporting processes; ensure documentation and reporting standards are maintained
- Review operational reports and identify trends, gaps, and areas for improvement
- Assist leadership in preparing for audits, monitoring visits, and funder reviews; monitor compliance with contract reporting including MWBE utilization, PASSPort subcontractor registration, AWARDS, and other online data tracking systems
- Work collaboratively with divisional leadership on budget tracking and financial monitoring; support procurement and vendor coordination processes
- Monitor operational expenditures and assist with reconciliation processes, lead monthly meetings with program directors and Business Manager to review budget progress and suggest spending recommendations
- Coordinate scheduling, meeting logistics, and divisional communications
- Maintain organized systems for operational records and documentation
- Serve as a liaison between divisional leadership and internal departments; serve as point person between the division and RB communications team
- Seek out private fundraising opportunities and lead coordination with development and advancement team
- Support partnerships with community stakeholders, service providers, and government agencies
- Assist with coordinating external meetings, events, and collaborative initiatives
- Work with divisional leaders to develop, track, and modify spending plans and budget implementation strategies
- Promote a culture of professionalism, accountability, and collaboration
- Build out and supervise administrative team as program operations continue to grow and expand in the Supportive Services portfolio
- Coordinate onboarding of all new staff; lead staff professional development initiatives and trainings
- Work closely with RiseBoro HR team on recruitment and hiring of all Supportive Services staff in compliance with agency, contractual and other regulatory agencies policies and procedures, including but not limited to:

- Submission of job requisition
- Finalization of job description/posting
- Coordination of applicant screening and interview arrangement
- Submission of hiring documents to HR
- Timely submission of PAFs

EDUCATION AND EXPERIENCE
- Bachelor's degree from an accredited college or university required
- Minimum of three (3) years of experience in operations, project management
