JOB PURPOSE



The Dispatcher is responsible for coordinating and controlling the movement of goods from the warehouse to customers or internal destinations. This role ensures that deliveries and collections are accurately scheduled, properly documented, and executed in a timely and cost-effective manner, while maintaining compliance with safety, quality, and operational procedures.


CORE RESPONSIBILITIES



Dispatch & Transportation Coordination



  • Plan, schedule, and coordinate daily dispatch and delivery activities in line with operational priorities.
  • Assign delivery routes, loads, and schedules to drivers and transport partners.
  • Ensure vehicles are correctly loaded, sealed, and dispatched according to delivery plans and safety standards.
  • Monitor delivery progress and proactively address delays, disruptions, or route changes.

Documentation & System Management



  • Prepare and verify dispatch documentation, including delivery notes, transport documents, and shipping labels.
  • Ensure accurate data entry and updates in the Warehouse Management System (WMS), Transport Management System (TMS), or relevant tracking tools.
  • Maintain dispatch logs and records in accordance with company and regulatory requirements.

Coordination & Communication



  • Act as the primary point of contact between warehouse operations, drivers, transport providers, and customer service teams.
  • Communicate dispatch instructions clearly to drivers and confirm delivery requirements.
  • Respond to delivery-related enquiries and escalate issues to the Warehouse Supervisor when required.

Safety, Compliance & Quality



  • Ensure all dispatch activities comply with HSEQ standards, transport regulations, and company policies.
  • Verify driver documentation, vehicle readiness, and basic safety checks prior to dispatch.
  • Report incidents, non-conformities, damages, or delivery issues promptly.



Performance & Continuous Improvement



  • Track delivery performance, turnaround times, and service levels against agreed KPIs.
  • Support cost control initiatives related to transportation and dispatch efficiency.
  • Suggest process improvements to enhance reliability, visibility, and customer satisfaction.
  • Perform other tasks assigned by the Warehouse Supervisor or Manager.


QUALIFICATION



  • Diploma or certificate in logistics, transportation, supply chain, or a related field preferred.
  • 2–4 years of experience in dispatch, logistics coordination, or warehouse operations.
  • Experience working with transport providers and delivery scheduling is an advantage.


REQUIRED SKILLS


  • Strong coordination and planning skills.
  • Clear and effective communication skills, both verbal and written.
  • Good organizational skills and ability to manage multiple dispatches simultaneously.
  • Problem-solving skills to handle delivery disruptions and operational constraints.
  • Basic to intermediate computer skills, including WMS/TMS or similar systems.
  • Attention to detail and accuracy in documentation and scheduling.
  • Ability to work under time pressure in a fast-paced operational environment.
