Driver Services Administrator

As a Driver Services Administrator, you will be the first point of contact at our Langley Terminal, delivering a high level of service to Drivers and Owner-Operators. You will manage inquiries, provide administrative support for the Driver Services department and Langley terminal, and contribute to special projects in a fast-paced environment.

Specific Responsibilities include:

  • Act as the first point of contact for our Drivers and Owner-Operators, delivering a high level of services in every interaction.
  • Welcome applicant Walk-in traffic and other guests to the terminal.
  • Support Driver applicants through their pre-onboarding steps including Road Test and signing of required paperwork
  • Maintain accurate and current driver files by uploading cards, tests, certifications, driver documents, etc. in Driver’s personnel record.
  • Create Pay Scales, Conditions of Employment, Owner-Operator Contracts, and unpaid leave letters.
  • Provide administrative support and documentation to drivers (e.g., passport applications, Driver’s Licenses, work permits).
  • Issue property to Drivers and ensuring all relevant personnel information is current and up to date.
  • Use professional, courteous telephone and personal communication, the Driver Services Administrator is responsible for providing exceptional customer service handling high volume of emails and calls.
  • Manage the incoming and outgoing mail and courier shipments for the Langley terminal.
  • Ensure all Drivers and Owner-Operators have access to mailboxes or alternative communication methods.
  • Present to Drivers in orientation class on topics such as Benefits and HR related policies.
  • Support key administrative tasks to keep the Langley terminal running smoothly
  • Play a key role in the coordination of onsite events/celebrations
  • Engage in other projects and responsibilities as necessary and as assigned.

Our Ideal Candidate will possess:

  • 3-4 years of administrative experience in a fast-paced office environment.
  • Minimum 2 years in a customer service or service-driven role.
  • Strong organizational and multi-tasking abilities.
  • Excellent communication and interpersonal skills.
  • High attention detail and accuracy.
  • Strong problem-solving skills and ability to prioritize.
  • Proficient in Microsoft Office (Outlook, Excel, Word).
  • Ability to thrive in a high-volume, fast-paced environment.
  • Diploma in Business Administration or a related field is an asset.
  • Experience in the transportation industry is an asset.
  • Experience supporting events, engagement, or social media initiatives is an asset.
  • Must have reliable transportation to commute to the Langley terminal
