Position overview:

The Equipment Specialist II supports NDCP members by managing equipment inquiries and executing non-stock drop ship orders from purchase through delivery.

This role is responsible for processing purchase orders, coordinating freight, scheduling deliveries, tracking shipments, and maintaining accurate documentation to ensure a seamless customer experience.

This position plays a critical role in aligning vendors, logistics partners, and internal teams to deliver equipment on time, resolve issues proactively, and support overall project execution.

Schedule: Day hours, Monday through Friday

Location: Duluth, GA preferred

Responsibilities

What you will do:

Principal Duties and Responsibilities

Order & Member Support

  • Respond to member inquiries related to equipment orders and availability
  • Issue, track, and expedite drop ship purchase orders to ensure on-time delivery
  • Manage vendor communications and procurement requests
  • Serve as a liaison across stakeholders to ensure clear and timely communication

Freight Coordination & Scheduling

  • Coordinate DCP (CWC) freight scheduling for equipment orders and deliveries
  • Schedule and confirm delivery appointments, including site readiness and access requirements
  • Track shipments and provide proactive updates on delivery status, delays, or risks
  • Partner with logistics providers and vendors to align delivery execution with project timelines

Documentation & Reporting

  • Maintain accurate order, PO, and freight records in project tracking systems
  • Ensure completeness and integrity of documentation across the order lifecycle
  • Track deliveries, back orders, credits, and punch-list items through project close-out
  • Support invoice reconciliation, including validation of freight-related charges

Issue Resolution

  • Identify and escalate order or freight-related issues impacting delivery timelines
  • Collaborate with vendors, logistics partners, and internal teams to resolve delays, damages, or discrepancies
  • Follow through on open items to ensure timely and complete resolution

Supervision Exercised

This position does not have direct reports.

Qualifications

What you bring:

  • 1–3 years of experience in supply chain, procurement, logistics, or project coordination
  • Strong organizational and time-management skills with the ability to manage multiple priorities
  • Experience with delivery scheduling, order tracking, and documentation management
  • Proficiency in Microsoft Office (Excel, Word, Outlook); ERP or procurement systems a plus
  • Experience with Smartsheet or project tracking tools preferred
  • Excellent communication skills and a strong attention to detail
  • Ability to work independently and collaboratively in a fast-paced environment
