Job Description Summary:

The William & Mary Washington Center, located in Mt. Vernon Triangle in Washington, D.C., seeks a full-time Event Coordinator. The Washington Center serves the community of William & Mary students, alumni, staff, faculty, and friends by providing academic and internship opportunities and scholarships for current students, career and networking resources for current students and alumni, engagement and philanthropic opportunities for alumni and friends, event planning resources for W&M staff, and teaching and research opportunities for W&M faculty. All of these initiatives are supported by proactive and partnership events, allowing the Washington Center events team to deliver comprehensive and individualized event support and leadership to all in the W&M community.

Reporting to the Senior Event Coordinator, and with strategic oversight from the Finance and Operations Manager, the Event Coordinator is the key to Center operations, focusing on the seamless delivery of recurring and external events, and space reservations. This role ensures that the Washington Center space is ready for daily academic and student activities where the Center provides the venue and technical support.

Job Description:

Required Qualifications:

  • Experience in event logistics, hospitality, or facility coordination.

  • High school diploma or equivalent.

  • Excellent oral and written communication skills.

  • Excellent organizational skills.

  • Ability to work frequent evenings.

  • Ability to work some weekends.

  • Ability to work independently on professional projects without supervision.

  • Ability to work collaboratively under multiple supervisors.

Preferred Qualifications:

  • Bachelor’s degree.

  • Experience working in higher education.

Conditions of Employment:

  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

  • The incumbent is required to have a valid driver’s license if they need to travel to Williamsburg, VA for main campus events (a vehicle will be provided if needed.)

  • The ability to work frequent evenings and weekends is required.

Job Duties:

60%- Recurring Event Management:

  • Act as the primary lead for evening class meetings, standard student-led activities, and internal staff meetings.

15%- Space Reservations:

  • Serve as the main point of contact for external or partner groups utilizing the facility; manage room bookings, access protocols, and orientations.

10%- Facility Readiness:

  • Responsible for the physical setup of event spaces, including furniture configuration, supply stocking, and signage.

10%- Administrative Operations:

  • Assist the Senior Coordinator with the shared master calendar, RSVP tracking, and logistics for signature events as assigned.

5%- Technical & AV Support:

  • Provide immediate, on-site troubleshooting for hybrid meeting technology (Zoom/Teams) and classroom AV equipment.

Posting Range: $42,000 up to $50,000 commensurate with experience
