Exec Admin-Associate- Tech Admin
We're seeking someone to join our team as a Associate in the Algo Super Department to provide administrative support for the Algo team in India. The global Algo team is responsible for building and deploying electronic and automated execution platforms globally, including ensuring that trading algorithms behave as advertised and aims to grow global coverage by building automation solutions.
What you'll do in the role:
- provide administrative assistance to the MD and EDs of the Algo India super department. This will involve calendar management, organising meetings, claims management, life events/anniversaries. You will work closely with EAs in other divisions and other regions.
- provide assistance with travel management including Ticketing, Hotel Booking, Rides, ENC, e-req, expensing), following up on approval, etc
- lead the implementation of regional (India) administrative programs for the super-department such as RTO, WFH kit, corporate device program, etc.
- coordinate BCP planning for the team
- coordinate and lead the Learning and Development (Training) programs for the team
- organise people programs such as mentoring and team engagement for the team
- hiring coordination on interviews, candidate assist during office visits, conduct candidate connect sessions etc
- new joiner engagement initiatives like Candidate Connect, NHOP, Hiring Drives, etc The ideal candidate should have:
- Experience of 5+ years in an executive assistant, administrative support or coordinator role, preferably within a large corporate environment.
- Proficiency in Microsoft Office 365 suite (Outlook, Word, Excel, PowerPoint, Teams) and familiarity with collaboration platforms such as SharePoint and virtual meeting tools.
- Exceptional organizational and multitasking abilities, with a proven track record of prioritizing competing demands and meeting tight deadlines in a fast-paced environment.
- Ability to handle confidential and sensitive information with a high degree of discretion, professionalism, and sound judgement.
- Strong written and verbal communication skills, with the ability to draft correspondence, prepare presentations, and liaise with senior internal and external stakeholders on behalf of the executive.
- Bachelor's degree in Business Administration, Communications, or a related discipline (or equivalent professional experience).
- Ability to manage complex calendars, coordinate multi-stakeholder meetings across time zones, and proactively resolve scheduling conflicts.
- Experience in coordinating end-to-end travel logistics, including international itineraries, visa arrangements, expense reporting, and last-minute changes is preferable but not mandatory.
