Executive Admin - Enterprise Identity
The Executive Assistant will provide high-level administrative, operational, and project support to the Director of Enterprise Identity and the broader EID leadership team. This role is the operational backbone of a fast-paced technical organization owning authentication and authorization systems (Smart Authentication, OAuth/OIDC infrastructure, SAF, identity modernization). The ideal candidate is proactive, discreet, technically curious, and able to translate ambiguous priorities into structured execution.
Calendar & Scheduling
• Own complex calendar management across multiple time zones for the Director and key leaders.
• Triage meeting requests, resolve conflicts, and protect deep-work blocks.
• Coordinate recurring leadership cadences: 1:1s, staff meetings, skip-levels, and cross-org reviews.
Communications & Stakeholder Management
• Draft, proofread, and route executive-level communications (email, Slack, decks, memos).
• Serve as a trusted liaison between the Director and internal/external stakeholders, including senior leadership, partner orgs (Atwork, Commercial Space, Risk), and external vendors.
• Handle sensitive information with absolute discretion (HR matters, compliance issues, vendor negotiations).
Travel & Expense
• Plan domestic and international travel, including agendas, ground transport, and contingency planning.
• Manage expense reports, reconciliations, and corporate card compliance per AmEx T&E policy.
Meeting & Workshop Operations
• Plan and execute logistics for offsites, multi-day workshops (e.g., Identity Modernization 3-Day Workshop), and town halls.
• Prepare agendas, pre-reads, and materials; capture decisions and action items; drive follow-through.
• Coordinate AV, catering, room booking, and remote-participant experience.
Project & Operational Support
• Track action items, OKRs, and initiative status across the EID portfolio.
• Support contractor onboarding/offboarding logistics (e.g., vendor transitions, access provisioning coordination with HR/IT).
• Assist with performance review cycle logistics, talent reviews, and team events.
• Maintain organizational artifacts: org charts, distribution lists, SharePoint/Confluence spaces, and team playbooks.
Budget & Vendor Coordination
• Support PO creation, invoice tracking, and vendor onboarding workflows.
• Partner with Finance on budget tracking, reforecasts, and quarterly reviews.
Required Qualifications
• 5+ years of executive administrative experience supporting Director-level or above leaders, ideally in technology, financial services, or a regulated enterprise environment.
• Demonstrated mastery of Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint) and modern collaboration tools (Slack, Confluence, Jira).
• Strong written and verbal communication skills with the ability to draft executive-level correspondence.
• Proven ability to manage multiple competing priorities under pressure with high accuracy.
• Demonstrated discretion handling confidential, regulatory, and personnel information.
• Proficiency with corporate travel and expense systems (Concur or equivalent).
• High school diploma required; Bachelor's degree preferred.
Preferred Qualifications
• Prior experience in financial services, payments, or a similarly regulated industry.
• Familiarity with technology org rhythms: agile ceremonies, release calendars, on-call schedules, and incident communications.
• Working understanding of identity/security concepts (SSO, MFA, OAuth) sufficient to triage stakeholder requests intelligently — not a technical role, but technical fluency is a strong plus.
• Experience supporting a manager with a portfolio of side ventures and personal LLCs (clean separation of corporate vs. personal scope).
• Bilingual English/Spanish is a plus, given the South Florida hub.
• Notary public certification (FL) is a plus.
