Job Summary
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the Group President for all Florida operations. This role is critical to ensuring efficient day-to-day executive support, seamless scheduling, and well-prepared meetings. The ideal candidate is a strong communicator who can anticipate needs, manage competing priorities, and handle confidential information with discretion. s.
Essential Duties & Responsibilities
- Manage and coordinate the Group President’s calendar, including scheduling internal and external meetings across multiple Florida locations
- Organize and prioritize daily schedules to ensure optimal use of executive time
- Prepare, compile, and distribute documents, reports, presentations, and agendas in advance of meetings
- Attend meetings as requested to take notes, capture action items, and distribute follow-up summaries
- Coordinate travel arrangements, including flights, lodging, transportation, and itineraries
- Serve as a point of contact between the Group President and internal teams, leadership, and external partners
- Assist with organizing leadership meetings, site visits, and special events.
- Maintain accurate records, files, and correspondence in an organized and accessible manner
- Handle confidential and sensitive information with professionalism and discretion
- Provide general administrative support and assist with special projects as needed
Qualifications
REQUIRED
- Proven experience as an administrative assistant or executive support role, preferably supporting senior leadership
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High attention to detail and accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Professional demeanor with the ability to interact effectively at all levels of the organization
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
- Ability to work independently, anticipate needs, and exercise sound judgment
- High school diploma
- Ability to maintain a high level of trust and confidentiality with sensitive items
- Positive attitude and the ability to work with and learn from others
- Effectively communicate with both internal and external customers
- Agility in computer software
PREFERRED
- Experience supporting executives with multi-location or regional operations
- Familiarity with meeting coordination, travel planning, and executive-level correspondence
- Experience preparing meeting minutes and executive summaries
- Experience supporting Project Managers
- Experience in the Construction industry
- Accounting experience
