Executive Administrative Assistant

Our client is looking for anExecutive Administrative Assistantto support two founders in a fast-paced, early-stage environment. This role offers hands-on exposure to community management, recruiting operations, and business development initiatives, playing a key role in keeping daily operations aligned and moving forward. They operate within the startup and community-driven space, having built a strong network and gained traction by connecting professionals and driving collaborative growth over recent years.

This is a high-impact position where organization, proactivity, and ownership are everything. The person in this role will act as a central point of coordination across multiple workflows, ensuring priorities are executed efficiently and nothing falls through the cracks.

Responsibilities
  • Manage founder calendars, including scheduling membership calls, introductions, and internal meetings

  • Coordinate outreach efforts with community members and support engagement initiatives

  • Track member contributions, OKRs, and participation tied to internal programs

  • Plan and execute both virtual and in-person events, including logistics and coordination

  • Oversee onboarding processes by setting up new members across platforms like Slack and internal systems

  • Maintain and optimize internal documentation and workflows in Notion as the main source of truth

  • Coordinate interview scheduling between candidates and clients, adjusting as needed

  • Support sourcing efforts by reviewing candidate pipelines and identifying key selection criteria

  • Assist with outreach messaging, list building, and workflow optimization using AI tools

  • Handle general administrative and operational tasks across recruiting functions

  • Research relevant business development events and assist with attendance planning

  • Coordinate travel logistics and event participation for founders

  • Build and organize target contact lists for outreach campaigns

  • Maintain clean and structured databases for business development efforts

  • Provide ongoing support for ad hoc founder requests and shifting priorities


Requirements

  • Strong organizational skills with exceptional attention to detail

  • Ability to manage multiple priorities independently with minimal supervision

  • Excellent written and verbal communication skills

  • Comfortable working in dynamic, fast-moving environments with evolving priorities

  • Experience using tools such as Notion, Google Workspace, Slack, and AI platforms

  • Proactive mindset with a strong sense of ownership and accountability

Qualifications
  • Previous experience in administrative, operations, or executive support roles

  • Exposure to startup environments, recruiting processes, or community operations is a plus

  • Experience coordinating events or managing logistics is highly valued

  • Ability to think critically and solve problems in ambiguous situations
