Executive (Alumni Relations Office)

Description

The Executive Officer will support the planning, coordination and delivery of alumni engagement initiatives at NAFA. The incumbent will be responsible for day-to-day execution of alumni programmes, alumni chapter coordination, communications support and alumni data management, contributing to strong, sustained relationships between NAFA and its local and international alumni community.


Roles and Responsibilities

1. Alumni Engagement & Events

Coordinate the execution of alumni events and programmes, including reunions, networking sessions, professional development dialogues, alumni recognition and profiling initiatives, and alumni-student activities.Support both local and overseas alumni chapter activities through logistics coordination and preparation of proposals and post-event reports.

2. Alumni Chapters & Volunteer Support

Serve as the operational liaison with NAFA’s local and overseas Alumni ChaptersSupport alumni volunteers and chapter members with communications, scheduling and documentation.Assist in onboarding new alumni chapter members and maintaining chapter records.

3. Communications & Engagement

Support alumni communications, including email campaigns, event invitations and content updates across digital platforms.Assist in profiling alumni contributions, achievements and participation stories for institutional use.Coordinate with internal stakeholders to ensure consistency of messaging.

4. Alumni Data & Systems

Maintain accurate and up-to-date alumni records in the database.Support data collation for alumni engagement metrics, surveys and reports.Assist in preparing event statistics, participation summaries and internal reports.

5. Administrative & Office Support

Provide general administrative support to the Alumni Relations Office, including scheduling, documentation, procurement and correspondence.Perform other duties as assigned in support of ARO objectives.

Requirements

  1. Minimum Qualification in Diploma in Arts Management, Communications, Business, Humanities or a related field.
  2. 1–3 years of relevant experience in higher education administration, alumni relations, events management, communications or stakeholder engagement.
  3. Strong organisational and coordination skills, with attention to detail.
  4. Clear written and verbal communication skills.
  5. Ability to work collaboratively with alumni, students, academic units and external stakeholders.
  6. Comfortable managing multiple tasks and deadlines.
  7. Interest in arts education, creative practice and community-building
