Executive Assistant

Evesham, New Jersey 08053This position provides services essential to the management of the day-to-day operations of the CEO’s Office. As a secondary role, this individual provides support to senior-level, direct reports of the CEO.The duties include, but are not limited to:
- Manage the CEO’s day-to-day administrative affairs, scheduling all professional and personal appointments and commitments in a fast-paced, fluid environment.
- Act as the CEO’s gatekeeper - consistently manage time, balance competing demands and shifting commitments appropriately.
- See around corners and take initiative to help the CEO achieve optimal outcomes.
- Provide the CEO with background information and/or supporting documentation in preparation for meetings, speaking engagements, conferences, events, etc.
- Partner with and keep the CEO informed of upcoming commitments and responsibilities.
- Act as a liaison for communication between the CEO and 10+ direct reports.
- Coordinate and execute a broad variety of other administrative tasks for the CEO including expense report management, timecard approval, distribution of company-wide emails, scheduling of quarterly board meetings, assist with event planning, etc.
- Secondary responsibilities include supporting VP level and above employees with internal and external meeting scheduling and other administrative duties.
- Complete ad hoc projects and special assignments by establishing objectives, determining priorities and seeing the project to completion.
- Performs miscellaneous job-related duties as assigned
Qualifications or Education, Training and Experience
- Bachelor’s degree
- Prior experience of C-Suite Level Administrative Support
- Strong proficiency with Microsoft Office, including Outlook, Excel, Word and PowerPoint, Adobe Acrobat and other commonly used applications.

- Ability to synthesize information quickly and communicate back effectively and efficiently.
- Ability to take initiative, anticipate needs and handle multiple priorities and deadlines with a sense of urgency.
- Ability to exercise independent and sound judgment to prioritize work in a fast-paced environment.
- Excellent organization, prioritization and time management skills. Strong appreciation for tracking follow-ups and seeing things through to the end.
- Excellent interpersonal, project management and written/verbal communication skills.
- Forward thinker i.e., develop and implement new approaches to improve processes, procedures or general working environment throughout the organization.
- Appreciation for the demands on a CEO and senior staff and strong desire to help navigate the responsibilities of the roles.
- Must be willing to maintain complete discretion and confidentiality in managing issues and/or relationships of a sensitive or confidential nature.
- Dependable, with strong work ethic and extremely high degree of personal and professional integrity.
- Ability to be flexible and work non-standard hours, as needed. Must be willing to act in an “on call” capacity.

The compensation range for this position is $66,000 - $99,000 annually). Compensation is based on the level and requirements of the role.
Salary within our ranges may also be determined by your education, experience, knowledge, skills, abilities, and location, as required by the role, as well as internal equity and alignment with market data.
